About The Position

We are seeking a Senior Administrative Assistant, reporting to the Vice President, Tax, to provide operational, administrative, and systems support that enables the effective functioning of the Tax team. The role supports tax compliance activities, maintains strong documentation and records governance, and assists with tax systems and digital tools, ensuring efficient day-to-day operations aligned with corporate policies and regulatory requirements.

Requirements

  • Legally authorized to work in Canada
  • Minimum of 5+ years of administrative experience required
  • Administrative Office Professional (AOP) certificate or equivalent combination of training and business experience
  • Strong organizational skills with the ability to prioritize, follow up, and meet deadlines

Nice To Haves

  • Progressive senior administrative experience supporting a tax function and/or experience in a law firm, accounting firm, or banking environments will be given preference
  • Experience with corporate tax software (e.g., TAXPREP) is an asset
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and SharePoint Online
  • Experience with Concur, OpenInvoice, ServiceNow, Power BI and SAP is an asset

Responsibilities

  • Ensure regulatory tax compliance by supporting the coordination and tracking all required tax filings, maintaining proof of submission, and administering CRA Represent a Client access
  • Own documentation and records governance for the Tax team, including document standards, retention practices, restricted access controls, physical and offsite file management, and legacy system access
  • Provide end-to-end business and administrative support for the Tax team, including onboarding, office operations, travel, and events
  • Act as the primary IT and systems liaison for Tax, overseeing document management platforms (CDMS, EDMS, SharePoint), shared drives, tax software access, subscriptions, testing, and compliance with access controls
  • Prepare and manage tax-related documentation, presentations, and reporting materials, ensuring alignment with Cenovus style, governance, and executive expectations
  • Support financial planning and cost management through invoice processing, budget preparation, forecasting support, Spotfire reviews, and maintenance of Power BI budget reports
