We’re looking for a highly driven Senior Administrative Assistant to support the Global Head of Operating Essentials and operate as a force multiplier for a fast-moving, high-performing team. This is not a traditional support role, this is a critical position for someone who thrives on ownership, operates with urgency, and consistently delivers at a high level. You will be expected to anticipate needs, remove friction, and execute with precision—often in ambiguous or high-pressure situations. You are resourceful, resilient, and solutions-oriented, with the judgment and confidence to engage across all levels of the organization. You have a strong curiosity for innovation, including AI and emerging technologies, and actively seek ways to leverage them to drive efficiency, scale impact, and stay ahead. This role requires a high degree of flexibility and commitment, including availability outside of standard business hours when needed to support executive priorities.

Requirements

  • 5+ years of experience supporting senior executives in a high-performance environment
  • Exceptional organizational skills with the ability to manage multiple priorities without dropping details
  • Strong business judgment and the ability to operate independently with minimal guidance
  • Proven ability to perform under pressure, meet tight deadlines, and adapt quickly
  • Absolute discretion and professionalism in handling sensitive information
  • Clear, concise, and confident communication skills
  • A proactive, ownership-driven mindset with a bias toward action
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong interest in AI and emerging technologies, with a willingness to experiment and implement tools that enhance productivity
  • Flexibility to work beyond standard hours when required to meet the demands of the role

Responsibilities

  • Own and optimize complex executive calendar management—prioritizing what matters most and ensuring time is aligned to highest-impact work
  • Drive seamless execution of executive-level meetings, offsites, and key events
  • Coordinate detailed domestic and international travel with precision and foresight
  • Manage expense reporting and invoice processing with accuracy and speed
  • Oversee and manage key vendor relationships, subscriptions, and contracts
  • Support onboarding and internal communications for the Technology team
  • Prepare high-quality materials, briefings, and presentations for senior leadership
  • Step in to support broader EA team needs, ensuring no gaps in coverage
  • Take on critical ad hoc projects and continuously identify opportunities to improve systems, workflows, and outputs—leveraging AI and new tools where possible
