About The Position

This position provides administrative support to the Senior Vice President and Chief Financial Officer, including coordinating calls and meetings with investors, general meeting and event planning, preparing and editing written materials, conducting basic research and assisting with other ad hoc items as needed. The Senior Administrative Assistant is responsible for providing strong comprehensive administrative support to the Chief Financial Officer. This role involves coordinating virtual and in-person meetings with investors, fielding and triaging inquiries from the investor community, and serving as a general liaison with internal/external stakeholders, managing communication and correspondence efficiently and professionally. The position also entails coordinating general internal and external events (both in-person and virtual), including budgeting, room set-up, preparation of meeting materials, and agenda preparation. The role requires designing, preparing, and/or editing written and digital materials for both internal and external audiences using PowerPoint, Excel and Word. Additionally, the Senior Administrative Assistant will conduct basic research, compile data as needed, and use digital and AI-enabled tools to support drafting, summarization, and administrative efficiency while exercising sound judgment, accuracy, and confidentiality. Handling confidential information with discretion and professionalism, performing basic bookkeeping tasks such as expense reports, invoicing, and budgeting and expense-tracking, and performing general administrative duties like preparing correspondence, proofreading documents, copying, filing, and ordering supplies are also key responsibilities. The role may support various special projects, particularly involving budgets and preparations for Board and senior management meetings, and assist other departments and executives with special assignments as needed.

Requirements

  • Associates degree or equivalent experience required.
  • Minimum five years’ administrative experience in a corporate environment strongly preferred, experience with a Fortune 500 company preferred.
  • Ability to effectively and professionally communicate and interact with personnel at all levels within the company and outside of it.
  • Able to maintain a high level of confidentiality and discretion.
  • Strong time management, organizational, oral, and written communication skills.
  • Proactive, self-motivated, and detail-oriented.
  • Strong analytical skills, with excellent problem-solving ability.
  • Advanced PC skills, including Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, and Visio), Docusign, and the ability to learn and use new business systems, collaboration platforms, and workflow or automation tools.
  • Proficiency using AI-assisted productivity tools, including M365 Copilot, to support meeting preparation, note organization, document drafting, summarization, and information retrieval, with the ability to validate outputs, protect confidential information, and apply appropriate judgment in a corporate environment.
