Role Summary: As a Senior Administrative Assistant, you will provide high-level administrative and operational support to executive leaders, helping manage priorities, communications, travel, meetings, and daily business needs. This role requires strong organization, attention to detail, and the ability to collaborate across teams while maintaining professionalism and confidentiality in a fast-paced environment.

  • Office Administration: Experience performing administrative tasks in support of local and remote teams, including use of Microsoft Office Suite, Concur Travel and Expense, CIBT, and UPS Campus Ship.

  • Previous experience in administrative support, human resources, or customer service.
  • Demonstrated ability to support multiple senior leaders in a fast-paced, professional environment.
  • Create executive-level presentations, correspondence, agendas, and communication materials while ensuring accuracy, professionalism, and attention to detail.

Responsibilities

  • Provide day-to-day administrative and operational support to executive leaders, including task tracking, prioritization, delegation support, and follow-through.
  • Coordinate domestic and international travel, including flights, ground transportation, lodging, visas, and related logistics.
  • Prepare, reconcile, and submit expense reports accurately and on time.
  • Manage calendars, schedule meetings, and resolve conflicts to support leader productivity.
  • Collect, organize, and consolidate division-wide information, updates, and deliverables.
  • Plan and coordinate meetings and events, including room reservations, meals, guest speakers, materials, and logistics.
  • Order and maintain office supplies, recognition items, and tools needed to support team operations.
  • Perform additional administrative duties as assigned while staying current with evolving tools, processes, and technology.
  • Build strong partnerships across the administrative community to enhance collaboration, share best practices, and support leadership effectiveness.
