About The Position

The Committee for Public Counsel Services (CPCS), the public defender agency for Massachusetts, is seeking a full-time Senior Administrative Assistant to support the Office of the General Counsel and the Strategic Litigation Unit. This position, based in Boston, offers a hybrid work schedule. CPCS is dedicated to fighting for equal justice and human dignity by supporting clients in achieving their legal and life goals, and by advocating for just public policy. The agency provides representation in a wide range of legal cases for individuals who cannot afford an attorney. The Office of the General Counsel provides legal counsel to the agency and represents it before the Legislature and Executive Branch. The Strategic Litigation Unit focuses on the right to counsel and the elimination of systemic injustices impacting CPCS clients through litigation and data analysis. The Senior Administrative Assistant will provide broad administrative services for these offices and will lead the processing of Public Service Loan Forgiveness certifications for private counsel vendors.

Requirements

  • Associate’s degree in a related area and at least two years of experience as an administrative assistant or office manager; executive level secretarial skills; or an equivalent combination of education, training, experience, and skills are required
  • Access to home internet access sufficient to work remotely
  • Ability to handle multiple tasks, prioritize effectively, meet deadlines, and deliver high-quality work
  • Excellent communication skills, both oral and written
  • Strong organizational abilities
  • Ability to maintain confidentiality and to exercise considerable judgment and discretion
  • Previous administrative assistant, office manager or similar experience and knowledge of general office procedures (e.g., correspondence, scheduling, filing)
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint)
  • Good problem-solving skills
  • Ability to establish effective working relationships and to work as part of a team

Nice To Haves

  • Typing skill of 50 to 60 wpm preferred
  • Previous experience in a legal setting is preferred

Responsibilities

  • Processing Public Service Loan Forgiveness certifications for private counsel vendors
  • Providing a broad range of administrative support, including phone reception, word and data processing, filing, copying, scanning, and redacting legal documents
  • Maintaining and organizing paper and electronic files
  • Processing, filing, sending, and responding to written and electronic correspondence
  • Assisting with other projects to improve the quality of legal representation and to enhance client services, including researching and responding to client requests for documentation
  • Ensuring that office systems and agency procedures and practices are administered effectively; communicating effectively with internal and external contacts at all levels
  • Assisting with front desk coverage including all receptionist responsibilities as needed
  • Maintaining and updating department websites
  • Other duties as assigned
