About The Position

Provides dedicated administrative support to the Senior Director of Manufacturing and the broader production department, removing day-to-day administrative burden so leadership can stay focused on plant performance, quality, and continuous improvement. This role manages calendaring, correspondence, meeting cadence, and department documentation, while also providing dedicated administrative support to launch Rogers Machinery's new remanufacturing/reconditioning (Reman) program as an immediate priority. The role works closely with production, quality, engineering, and supply chain within RMC's EOS operating framework.

Requirements

  • Bachelor's degree preferred, or equivalent combination of education and experience.
  • 3+ years as an Executive Assistant or senior administrative professional, ideally supporting operations or manufacturing leadership.
  • Strong proficiency in Microsoft Office (Excel, Outlook, PowerPoint, Word); excellent written and verbal communication.
  • Strong organizational skills managing multiple priorities in a fast-paced manufacturing environment.
  • High degree of discretion and professionalism handling confidential information.

Nice To Haves

  • Experience with ERP systems (Epicor preferred); familiarity with Smartsheet a plus.
  • Familiarity with lean/CI concepts (5 Whys, DMAIC, kaizen).
  • Familiarity with EOS (Entrepreneurial Operating System) meeting rhythms (Level 10 meetings, scorecards).

Responsibilities

  • Provide dedicated administrative support to launch Rogers Machinery's new remanufacturing/reconditioning (Reman) program — coordinating the cross-functional team, maintaining program documentation and SOPs, and supporting KPI/L10 reporting — until the program is established.
  • Manage the Senior Director's complex, shifting calendar; coordinate occasional travel arrangements, including branch visits.
  • Prepare, format, and proofread correspondence, reports, and presentations; screen and prioritize email and draft routine responses.
  • Prepare agendas, materials, and minutes for leadership, EOS Level 10, and staff meetings; own the meeting cadence by distributing agendas in advance and publishing minutes and action-item trackers promptly.
  • Track action items and follow up on deadlines across departments.
  • Handle financial, and proprietary operational or process information with discretion.
  • Serve as the first point of contact for production department administrative needs, extending support to other production leadership team members as departmental priorities require.
  • Maintain and update department documentation, SOPs, and tracking tools (Smartsheet, Excel); support data entry and record-keeping in Epicor.
  • Coordinate meetings and communication across production, quality, engineering, and supply chain, including RMC's Tigard, Centralia, and Portland sites.
  • Compile, validate, and distribute the Senior Director's own KPI reports and L10 scorecard, and support preparation of monthly operating review materials.
  • Track manufacturing initiatives and cross-functional projects, keeping owners, due dates, and deliverables visible and on schedule.
  • Prepare expense reports and departmental budget documentation.
  • Own ad hoc research and special projects as assigned.
  • Help track KPIs, quality metrics, and CI initiatives (5S, kaizen events, A3s).
  • Coordinate onboarding logistics with HR for new hires across the production team — paperwork, scheduling, and equipment setup — while managers and directors continue to own their own team's onboarding and people decisions.
  • Serve as the manufacturing department's coordination point with HR, keeping paperwork, scheduling, and administrative HR needs moving smoothly, while managers and lower directors retain ownership of their own team's HR matters.
  • Coordinate vendor/supplier communications and maintain department calendars for shift coverage, training, and audits.
  • Other duties as assigned by supervisor.
