About The Position

We are seeking a highly organized and proactive Senior Administrative Assistant & Office Manager to provide dedicated support to the Senior Vice President of Investor Relations while serving as an office manager for the Boston office. This individual will play an important role in ensuring operational excellence, fostering a positive office environment, and supporting executive effectiveness.

Requirements

  • 3+ years of experience in an Executive Assistant, Senior Administrative Assistant, Office Manager, or related support role.
  • Experience supporting senior leaders and managing competing priorities in a fast-paced environment.
  • Strong organizational, project management, and time management skills.
  • Exceptional attention to detail and follow-through.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong written and verbal communication skills with the ability to build relationships across all levels of the organization.
  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive matters with professionalism.
  • Demonstrated problem-solving skills and a proactive, customer-service-oriented mindset.
  • Ability to manage multiple priorities while maintaining accuracy and responsiveness.

Responsibilities

  • Provide primary administrative support to the Senior Vice President of Investor Relations.
  • Manage a complex and dynamic calendar, including scheduling meetings, coordinating agendas, and resolving scheduling conflicts.
  • Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense reporting.
  • Prepare and maintain meeting materials, presentations, and other business documentation as needed.
  • Support executive communications and assist with follow-up actions to ensure timely execution of priorities.
  • Maintain a high degree of professionalism, discretion, and confidentiality when handling sensitive information.
  • Provide onsite support to help manage schedules and ensure meetings and business priorities run smoothly.
  • Serve as the primary point of contact for the Boston office and help foster a welcoming, professional, and productive workplace experience.
  • Coordinate office operations, vendor relationships, facilities requests, office supplies, and workplace services.
  • Partner with Workplace Experience, Technology, Security, and other corporate teams to address office needs and ensure smooth day-to-day operations.
  • Welcome and support visitors, clients, and employees within the office.
  • Assist with planning and coordinating team meetings, events, employee engagement activities, and office-based initiatives.
  • Support implementation and communication of office protocols, workplace policies, and employee resources.
  • Help maintain an organized and collaborative office environment that supports employee engagement and business objectives.
  • Support with new hire onboarding processes, including I-9 documentation.
