About The Position

Operates a multi-line switchboard to relay incoming, outgoing, and interoffice calls. Serves as the primary receptionist, directing visitors and responding to telephone inquiries regarding school programs and activities. Performs various clerical duties, including typing, proofreading, photocopying, scanning, filing, and maintaining office machines. Manages incoming and outgoing mail, coordinates package returns, and tracks postage usage. Prepares and distributes the employee directory, processes purchase orders for travel and other needs, and tracks employee travel requests. Orders and inventories office supplies and district forms, and keeps copiers stocked. Assists with the annual audit and issues/maintains student work permits.

Requirements

  • High school diploma or equivalent
  • One to three months related experience and/or training or equivalent combination of education and experience
  • Knowledge of Excel, Access, Word, Publisher, & Google

Responsibilities

  • Operates a multi-line phone system.
  • Serves as the primary receptionist and directs visitors to the correct department.
  • Responds to telephone inquiries regarding school programs and activities.
  • Performs a variety of clerical duties such as typing, proofreading, and photocopying.
  • Scans, proofs, and files documents/records for office.
  • Maintains district telephone system and administration office machine problems/repairs.
  • Distributes incoming Administrative Office mail, processes outgoing District’s mail and assumes responsibility for special handling mail.
  • Coordinates and maintains records for the district’s package return.
  • Keeps accurate records of postage usage/expenditures; prepares reports; communicates orally and in writing.
  • Prepares and distributes the district employee directory.
  • Separates purchase orders for Absence/Travel and follows up on lodging (with employee or location), completes registration forms for teachers (when not complete).
  • Inputs purchase orders for all travel requests, then mails or faxes.
  • Tracks employees’ travel requests.
  • Types other purchase orders as needed.
  • Orders and inventories office supplies and district forms.
  • Keeps copiers stocked with paper and supplies.
  • Assists with annual audit.
  • Issues and maintains student work permits.
