Requirements

  • Associate degree in Business Administration, Accounting, Finance, or a related field (or equivalent experience)
  • Minimum of two (2) years of relevant experience in administrative support, accounting, project coordination, or government contract support
  • Alternatively: High school diploma or GED with five (5) years of administrative/secretarial experience, or Three (3) years of experience with an associate’s degree or higher
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Typing speed of at least 45 words per minute
  • Excellent written, verbal, and interpersonal communication skills
  • High degree of confidentiality and professionalism
  • Ability to work independently, including in remote environments
  • Valid driver’s license
  • Ability to pass pre-employment background check and drug screening
  • Ability to obtain and maintain a Top Secret/SCI security clearance
  • Ability to obtain and maintain the Facility Management course
  • Must be a U.S. Citizen

Responsibilities

  • Assist with Coordination and scheduling of kick off meetings associated with service work and subcontract activities in support of the Service Order Manager
  • Assist with Preparation and distribution of schedules and updates to stakeholders
  • Facilitate submission of required vendor and subcontractor deliverables, including but not limited to: Visitor requests, Vehicle requests, Project schedules, Meeting agendas, Contract closeout documentation
  • Conduct market research as requested
  • Develop, document, and distribute meeting agendas and minutes
  • Assist with Maintaining vendor and subcontractor databases and documentation
  • Handle incoming calls, visitors, and general inquiries, directing them as appropriate
  • Compose, format, and distribute correspondence, reports, spreadsheets, and presentations
  • Maintain calendars, schedules, and appointments
  • Process incoming and outgoing mail and communications
  • Maintain department files, records, and documentation systems
  • Monitor and replenish office supplies; assist with inventory management
  • Perform general office maintenance, including workspace organization
  • Input, track, and extract data from company and customer databases
  • Prepare reports to support operational and contractual requirements
  • Track administrative processes, communications, and performance metrics
  • Support all departments and management personnel as needed
  • Operate Government or company vehicles/equipment, if required
  • Ensure compliance with safety policies and standard operating procedures
  • Always maintain a professional appearance and demeanor
  • Work collaboratively with employees, customers, and stakeholders
  • Demonstrate strong organizational, multitasking, and problem-solving skills
  • Work independently and meet established deadlines
  • Communicate effectively and keep management informed of issues or developments
