About The Position

The School District Transportation Secretary plays a critical role in supporting the efficient and safe operation of our school district's transportation department. This position involves various administrative tasks, record-keeping, communication, and coordination to ensure the smooth functioning of school bus services. The Transportation Secretary is an integral part of the team responsible for transporting students to and from school safely and on time.

Requirements

  • High School diploma or equivalent
  • Demonstrated three (3) years of secretarial experience.
  • Demonstrated experience and evidence of accuracy, speed, and proficiency using Google applications.
  • Excellent skills in “finish product” editing, spelling, grammar, proofreading, document mark-up, and layout.
  • Excellent written communication skills; demonstrated ability to communicate clearly and effectively with staff, students, and patrons.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to manage multiple tasks under pressure with multiple interruptions.
  • Successful experience dealing with conflict, emergency situations, parent complaints and staff concerns in an educational setting.
  • Demonstrated ability to exercise sound judgment to set priorities, schedule, and coordinate multiple complex matters, while working independently and on own initiative.
  • Experience with budget process and bookkeeping/accounting.
  • Demonstrated ability to maintain confidentiality of sensitive matters and records.
  • Excellent public relations and customer service skills; must enjoy working with and serving the public.
  • Demonstrated punctuality and an excellent work attendance record.
  • Demonstrated ability to establish and maintain professional, respectful, cooperative working relationships.
  • Possess or become eligible for a valid driver's license to include a Commercial Driver's License Class B with passenger, school bus, and air brake endorsements.
  • Possess or ability to obtain the Washington State School Bus Operators' Authorization.
  • Ability to follow safe work practices and procedures.
  • Ability to work additional and/or flexible hours.
  • Ability to successfully complete the typing assessment with a score in the upper Moderately Effective to Highly Effective range.

  • First aid card may be required for specific positions.
  • Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal/director.
  • The hiring manager may choose to administer a position-specific assessment to help inform the selection process.

Responsibilities

  • Consistently deliver outstanding customer service to ensure a positive experience for all visitors, students, parents, and staff.
  • Greet each individual with warmth and professionalism.
  • Serve as a point of contact between parents, school staff, and transportation department personnel to address inquiries, concerns, and requests related to transportation services.
  • Assist in ensuring compliance with state and federal transportation regulations and safety standards, including monitoring driver qualifications and maintaining required documentation.
  • Collaborate with directors to develop, track, and report as it relates to STARS.
  • Approves, posts, and assigns extra trips as per the contract requirements which includes tracking and invoicing to the appropriate account or agency.
  • Assist in managing and organizing departmental records, files, and documentation.
  • Collects and computes all extra duty time for payroll and ensures timely submission.
  • Tracks all absences and absence requests to ensure accurate reporting through Red Rover.
  • Accurately administer purchase orders, accounts payable, billing for services, and budget transfers.
  • Prepare reports, memos, and other documents as required for the department.
  • Handle phone calls, emails, and inquiries from parents, students, and staff members in a professional and courteous manner.
  • Drive a school bus as needed.
  • Meet schedules and timelines.
  • Work a flexible schedule as required to meet the needs of the department.
  • Understand and carry out assigned work with minimal supervision.
  • Other duties as assigned.
