About The Position

The Salesforce Administrator is responsible for the administration, configuration, optimization, and ongoing support of Bentley Mills’ Salesforce platform and related sales technology tools. This role supports Sales, Marketing, Business Development, Sales Operations, IT, and executive leadership by improving business processes, strengthening data visibility, supporting pricing and quoting accuracy, and driving user adoption. The Salesforce Administrator will serve as a key cross-functional partner for Salesforce configuration, automation, reporting, CPQ administration, Outlook/Microsoft 365 integration, data tools, vendor coordination, licensing support, and end-user training.

Requirements

  • Salesforce Administrator certification required or actively in progress.
  • Hands-on experience administering Salesforce Sales Cloud, including Flow Builder, custom report types, formula fields, validation rules, dashboards, list views, automation, and user security.
  • Experience with Salesforce CPQ/SteelBrick or similar CPQ tools, including quote configuration, Product Rules, and pricing logic support.
  • Strong understanding of the Salesforce security model, including roles, profiles, permission sets, sharing rules, and role-based record access.
  • Ability to translate business requirements into practical Salesforce solutions that support Sales, Marketing, Sales Operations, and executive reporting needs.
  • Excellent written and verbal communication skills, including the ability to prepare internal stakeholder updates, executive-level communications, training materials, and user adoption messaging.
  • Comfort working cross-functionally with Sales, IT, senior leadership, vendors, and end users in a fast-paced business environment.

Nice To Haves

  • Experience with Outlook/Microsoft 365 integration, email authentication protocols, DKIM, DNS, and CNAME configuration preferred.
  • Prior experience managing, mentoring, or supporting a team preferred.

Responsibilities

  • Administer and maintain the Salesforce environment, including users, security settings, roles, profiles, permission sets, sharing rules, custom objects, native objects, fields, page layouts, Lightning pages, and system documentation.
  • Build, maintain, and troubleshoot Salesforce Flows, including Screen Flows and record-triggered flows, to automate business processes such as Opportunity cloning with Record Type overrides, formula logic, approvals, workflow updates, and other sales process improvements.
  • Develop and maintain custom report types, reports, dashboards, list views, formula fields, validation rules, and visibility logic. Support business reporting needs such as YTD Quota reporting anchored to fiscal week calculations and resolve report or dashboard visibility issues related to role-based record access.
  • Administer Salesforce CPQ/SteelBrick, including Product Rules, quote configuration, pricing logic support, and ongoing quote process maintenance. Support the transition to a next-generation CPQ configurator as business needs evolve.
  • Configure, troubleshoot, and support Outlook Integration and Microsoft 365 functionality, including side panel customization through Lightning App Builder and Email Application Panes. Use Jitterbit or similar tools to support data loading, imports, updates, and integration-related data maintenance.
  • Set up, maintain, and troubleshoot email authentication across sandbox and production environments, including DKIM, DNS, and CNAME configuration in partnership with IT and external vendors.
  • Partner with RVPs, sales leadership, and executive leadership to gather requirements, communicate business needs, improve sales processes, build reporting tools, and support pricing verification processes, particularly following price changes.
  • Drive user adoption for Salesforce tools, Outlook Integration, dashboards, reports, and related systems through clear communications, training resources, Open Office Hours, and end-user support. Identify adoption gaps versus system gaps and recommend appropriate remediation plans.
  • Coordinate Salesforce licensing discussions with vendor sales representatives, evaluate pricing proposals for new implementations such as portal projects, assess alternative platforms when appropriate, and track contract renewal timing to support effective negotiations.
  • Manage, mentor, and support a team of sales coordinators while serving as a liaison between Sales, IT, executive leadership, vendors, and internal stakeholders.
  • Stay current with Salesforce releases, test new features, maintain data quality, document configurations and processes, support data privacy and security best practices, and complete other duties as assigned.
