About The Position

This position provides consistent support for sales administration and community marketing efforts. The assistant will help ensure timely follow-up on inquiries, professional communication with partners and customers, and organized coordination of small community events. By handling routine administrative and event logistics tasks, this role allows professional staff to focus on relationship-building, strategy, and program development, while improving responsiveness and overall community engagement.

Requirements

  • Currently enrolled as a UT Austin student in good academic standing
  • Available to work 6-10 hours per week with some flexibility for events
  • Customer service mindset, with ability to interact courteously with campus partners, community members and event clients
  • Organizational skills and attention to detail

Responsibilities

  • Draft, send, and track follow-up emails to prospects, partners, and customers for the Texas Union and Hogg.
  • Prepare and update price quotes, simple proposals, and basic sales documents using standard templates.
  • Maintain contact lists and CRM/spreadsheet records (e.g., logging interactions, updating status, tracking deadlines).
  • Monitor shared inboxes, route inquiries appropriately, and ensure timely responses.
  • Help maintain event and program information on websites, calendars, and community listings.
  • Conduct light research on community partners, organizations, and potential outreach opportunities.
  • Assist in planning small community events.
  • Coordinate event checklists, timelines, and confirmations (rooms, A/V, catering, signage, materials).
  • Be onsite the day of events to assist with setup, check-in, wayfinding, and breakdown, and serve as a friendly point of contact.
  • Maintain organized digital files and shared folders related to sales and events.
  • Prepare simple reports or summaries (e.g., event attendance, follow-up lists, outreach metrics).
  • Perform other related duties as assigned in support of sales and community engagement goals.
