About The Position

This full-time position is responsible for supporting the sales and catering team with daily administrative functions. The role requires a working knowledge of the product, sales office functions, and the ability to coordinate the flow of paperwork. The Sales & Marketing Coordinator will also develop interdepartmental relationships and compose/prepare correspondence accurately and quickly. Key daily duties include managing various documents, preparing sales kits, typing contracts, coordinating travel, and providing administrative support to the Executive Club Manager.

Requirements

  • 2-4 years’ experience in catering, sales/service, event service management or related field.
  • Familiarity and superior skill with software programs, specific but not limited to; Microsoft Word, Microsoft Excel, and Delphi.
  • Ability to prioritize workload and meet deadlines.
  • Developed English skills both written and orally.

Responsibilities

  • Report to work dressed in proper attire and on time following proper clock in/out procedure.
  • Maintain a crisp and polished professional appearance.
  • Support the sales and catering team with administrative functions daily.
  • Maintain a working knowledge of the product and familiarity with all sales office functions.
  • Maintain the working knowledge of the filing system and coordination of the flow of paperwork.
  • Develop an understanding of the function of all other hotel departments and foster interdepartmental relationships.
  • Compose and prepare Sales and other delegated correspondence accurately and quickly.
  • Proofread all other correspondence to be ready for review and signature.
  • Coordinate distribution of all memos, correspondence, and other materials generated by the Sales and Catering Department.
  • Answer, screen, and qualify all incoming phone calls for the Sales Department.
  • Maintain an office supply inventory, order and organize supplies while maintaining budget.
  • Prioritize the daily workload accurately to successfully meet deadlines.
  • Manage daily duties including reader board, packet review, packet distribution, resumes, menus, dietary cards, divisional weekly schedule, amenities, in-house blocks, leads/turn down entries for catering, calling for guarantees, routing add-ons, revised and late event orders, and maintaining the banquet event order binder.
  • Prepare and assemble sales information kits and information for current/potential clients.
  • Type and distribute contracts and proposals.
  • Coordinate all Sales travel and tradeshow support.
  • Assist the Executive Club Manager two days a week with administrative support.
  • Support and adhere to all hotel policies and procedures.
  • Handle additional duties and responsibilities as assigned by the Sales team.
