About The Position

KTA-Tator, Inc. (KTA) is seeking a Sales Coordinator for its Instrument Sales & Service group. This role keeps a fast-moving sales operation organized and responsive by supporting account representatives, coordinating orders, and making sure customers receive accurate information and timely updates. Our customers often need equipment or service quickly, so details, communication, and follow-through matter. The right person will enjoy bringing systems and order to a busy environment. You will work closely with the account representatives, calibration lab, operations team, warehouse, purchasing, vendors, and customers to move work forward, catch problems early, and close communication gaps. This is more than data entry; it is a coordination role with direct impact on customer experience, team capacity, revenue, and margin.

Requirements

  • A highly organized, dependable professional who notices details, follows through, and communicates clearly.
  • Customer service, sales support, order management, distribution, logistics, or administrative experience is preferred.
  • Comfort managing a high volume of emails, calls, quotes, orders, and competing priorities without losing accuracy.
  • Ability to take ownership of a task, track it to completion, and speak up when information, timing, or responsibilities are unclear.
  • A collaborative approach and the ability to work effectively with sales, laboratory, warehouse, purchasing, finance, vendors, and customers.
  • Strong general computer skills, including Microsoft Office.
  • Ability to learn technical products and business processes; prior coatings or inspection-equipment experience is not required.
  • Ability to travel occasionally for training, trade shows, or sales meetings when needed.
  • This position requires the ability to work at a computer and communicate by phone for extended periods, handle small instruments and gauges, and safely lift and move items weighing up to 50 pounds.

Nice To Haves

  • Experience with NetSuite, a CRM, or another ERP system is helpful.
  • Associate or bachelor's degree in business, communications, supply chain, or a related field is preferred but not required.

Responsibilities

  • Support account representatives by preparing routine quotes, confirming product availability and lead times, calculating shipping, and gathering vendor information.
  • Enter and process sales orders accurately in NetSuite, verify customer and order details, and make sure required documentation is complete.
  • Monitor open orders from entry through shipment or service completion, identify delays or missing information, and keep the account representative and customer informed.
  • Coordinate with the calibration lab, warehouse, purchasing team, vendors, and shipping providers to resolve order issues and keep work moving.
  • Respond to routine customer questions regarding order status, tracking, documentation, returns, calibration, repair, and other service needs.
  • Maintain accurate customer, contact, quote, order, and activity records in NetSuite and other company systems.
  • Assist with open-quote follow-up, customer outreach, and recurring service reminders as directed by the account representatives or sales manager.
  • Support domestic and international orders, including shipping documentation and communication with customers and freight providers.
  • Help manage shared sales inboxes, incoming requests, vendor communications, and administrative tasks so urgent needs are routed and addressed promptly.
  • Develop working knowledge of KTA's products and services so you can recognize customer needs, answer routine questions, and direct technical opportunities appropriately.
  • Assist with sales reports, customer lists, trade show preparation, and other team projects as needed.
