About The Position

Roscoe Mountain Club is seeking a detail-oriented, service-driven professional to support its Sales and Events team. This role is crucial in coordinating events, supporting sales efforts, and creating memorable experiences in a unique Catskills setting. The position offers a supportive work environment within a club that boasts over 1,000 acres of natural beauty, an 18-hole championship golf course, and year-round amenities. Requirements

  • 1-3 years of experience in hospitality, events, or sales coordination preferred
  • Strong organizational and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Availability to work evenings, weekends, and holidays as required
  • Good organizational and verbal skills.
  • Ability to use logical and rational thinking to resolve issues.
  • Ability to perform basic mathematical skills, monitor and develop subordinates, visually monitor the operation areas, and write and read member communication.
  • Must have the ability to perform moderate physical work and may be required to lift up to 50 lbs. and up to 20 lbs. frequently.
  • Perform activities such as bending, kneeling, crouching, climbing, reaching, standing, pushing, lifting, and grasping for up to 5 hours without sitting.
  • Ability to consistently lift, carry, and load adaptive and other sports equipment that may weigh 50 or more pounds, and sustain aerobic activity for 20 consecutive minutes.

Responsibilities

  • Support the Director of Sales in detailing all contracted events from initial booking through execution.
  • Prepare and distribute Banquet Event Orders (BEOs), timelines, and detailed function sheets.
  • Serve as a liaison between Sales, Events, and Operations teams.
  • Maintain organized and up-to-date records of event details, updates, and client preferences.
  • Coordinate onsite experiential and branded activations for contracted events.
  • Communicate logistics with Operations, Food & Beverage, Guest Services, and external vendors.
  • Assist with planning décor, entertainment, activities, and experiential enhancements.
  • Assist the Event Team with day-of coordination and event flow management.
  • Provide onsite client support to ensure a high-quality guest experience.
  • Troubleshoot and resolve issues in real time during events.
  • Provide administrative support to the Sales & Events team.
  • Participate in site visits, planning meetings, and pre-event walkthroughs.
  • Uphold Club service standards at all times.
  • Perform other duties assigned.
