Job Summary The Safety Administrator will support the daily operations of our safety department. This role plays a key part in maintaining compliance, organizing safety documentation, coordinating training records, supporting onboarding, and supporting field operations with administrative safety functions. The ideal candidate is highly organized, communicates effectively with field and office personnel, and thrives in a fast-paced construction environment where safety is a core value.

Requirements

  • 1–3 years of administrative experience preferred, ideally in construction, safety, logistics, or industrial environments.
  • Experience working in construction or heavy civil industries is strongly preferred.
  • Familiarity with OSHA regulations and construction safety terminology preferred.
  • Strong organizational skills and attention to detail.
  • Proficiency with Microsoft Office Suite, especially Excel, Word, and Outlook.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.

Responsibilities

  • Maintain and organize safety records, certifications, training logs, and compliance documentation.
  • Assist with onboarding paperwork, safety orientation records, and employee qualification tracking.
  • Support compliance with OSHA, DOT, MSHA (if applicable), and company safety policies.
  • Track and monitor safety-related deadlines including certifications, inspections, medical cards, and training renewals.
  • Prepare and distribute safety reports, metrics, and meeting documentation.
  • Assist with incident reporting, documentation gathering, and claim file organization.
  • Maintain records related to near misses, injuries, property damage, and corrective actions.
  • Coordinate communication between field personnel, HR, insurance representatives, and safety leadership as needed.
  • Schedule and coordinate training sessions and certification classes.
  • Maintain employee training matrices and ensure records are current and accurate.
  • Assist in preparing safety materials, presentations, and toolbox talks.
  • Communicate professionally with field crews, project teams, vendors, and subcontractors.
  • Assist with jobsite audits, inspections, and safety documentation requests.
  • Support equipment, fleet, and PPE tracking processes.
  • Order and maintain safety supplies, PPE inventory, and office materials.
  • Help ensure projects maintain required safety documentation and postings.
