About The Position

Under general supervision of Layne's Safety Department, this position is responsible for performing a variety of administrative and office support functions to ensure the daily operations of the department run efficiently. This role supports one or more managers by scheduling meetings, maintaining calendars, and making travel arrangements. It also involves maintaining and updating reports to ensure compliance with company policies and regulations, acting as a point of contact for department procedures, and assisting staff with daily functions to achieve department goals. The position requires reviewing and coding departmental expenses, maintaining organized department files, and managing inventory of department supplies. A key responsibility is assisting in the maintenance of confidential employee records related to drug and alcohol testing, training/certification, and other health and safety documents. Additionally, the role assists in maintaining third-party client prequalification websites with employee records and documentation, and supports the administration of various safety policies and programs, including the Company Drug & Alcohol Policy, Safety Incentive Program, and Accident Prevention Program. The assistant also helps in preparing and distributing safety-related materials such as tailgate meeting topics, newsletters, and hazard alerts.

Requirements

  • High school graduate or GED equivalent required.
  • 1-2 years of office and administrative experience.
  • Must have knowledge of commonly used administrative and office concepts, practices and procedures
  • Excellent organizational, time management, and interpersonal skills
  • Strong customer service focus
  • Demonstrated proficiency with MS Office Suite and the ability to learn new software quickly
  • Exceptional problem solving skills with consistent follow through
  • Ability to maintain confidentiality
  • Attention to detail and accuracy

  • Ability to work well with all levels of staff as well as external customers

  • General experience with client required prequalification sites (ISNetworld, Avetta, etc.) preferred

Responsibilities

  • Perform a variety of administrative and office support functions to ensure the daily operations of the department run efficiently.
  • Support one or more managers including scheduling meetings, maintaining calendar, and travel arrangements to ensure their time is managed efficiently.
  • Maintain/update reports to ensure compliance with company policies as well as local, state, and federal regulations.
  • Support functional area by being the point of contact for department procedures and practices to ensure consistency.
  • Assist department manager and/or supervisors or other staff with their daily functions to ensure department goals are achieved.
  • Review and code departmental expenses to ensure accurate accounting and budgeting.
  • Maintain department files to ensure they remain organized and current.
  • Order and maintain inventory of department supplies stock to ensure supplies are available when needed.
  • Assist in the maintenance of confidential employee records with respect to drug and alcohol testing results, employee training/certification records, and other documents as they relate to the health and safety of employees.
  • Assist in maintaining third party client required prequalification websites with employee required training records and documentation.
  • To assist in the administration of the Company Drug & Alcohol Policy, Safety Incentive Program, Accident Prevention Program, and other safety related policies and or programs.
  • Assist in the preparation and distribution of safety related topics such as tailgate safety meetings, supervisor safety meeting agendas, newsletters, hazard alerts and fatalgrams.
