About The Position

The Administrative Assistant will provide high-level administrative and operational support across multiple job sites, including active construction and data center environments. This role requires frequent travel, strong organizational skills, and the ability to work in fast-paced, high-compliance environments. The Administrative Assistant will be responsible for maintaining accurate records, supporting onboarding processes, coordinating site logistics, and ensuring all documentation aligns with company and client requirements.

Requirements

  • Previous administrative experience required (construction, safety, or data center experience preferred)
  • Strong organizational skills with attention to detail and ability to manage multiple tasks simultaneously
  • Proficient in Microsoft Office (Word, Excel, Outlook) and communication platforms such as Microsoft Teams
  • Ability to handle sensitive and confidential information with professionalism
  • Strong communication skills (written and verbal)
  • Ability to work independently and adapt to changing project demands
  • Must comply with all company policies and client site requirements
  • Subject to background check and drug screening if required by project or client
  • Must adhere to all safety protocols, including PPE requirements when on active job sites
  • This is a project-based role, and continued work is dependent on performance, attendance, and client satisfaction

Responsibilities

  • Provide administrative support to site leadership, safety teams, and operations management
  • Coordinate onboarding processes including document collection, tracking, and compliance verification (e.g., onboarding packets, certifications, timekeeping setup)
  • Maintain accurate and up-to-date records for personnel, site documentation, and compliance logs
  • Assist with timekeeping, payroll coordination, and timesheet tracking; ensure deadlines are met and discrepancies are addressed
  • Schedule and coordinate meetings, interviews, orientations, and site communications (Microsoft Teams, email, etc.)
  • Support travel coordination for personnel including lodging, transportation, and scheduling logistics
  • Communicate with employees, contractors, and clients in a professional and timely manner
  • Assist in preparing reports, safety documentation, and project updates for internal and client use
  • Ensure all documentation is aligned with company policies and client requirements
  • Perform general administrative duties including data entry, filing, document management, and email correspondence
  • Provide on-site administrative support as needed, including check-in processes, badge tracking, and coordination with security
