About The Position

This is a unique, dual-function role where no two days look exactly the same - and that's what makes it exciting. You'll be the heartbeat of our front office, the first face residents see when they walk through the door and a critical part of keeping our billing and leasing operations accurate and on track.

Requirements

• Ability to work independently and manage time without constant direction
• Natural multitasker who can shift from helping a resident at the front desk to processing billing entries - and back again - without missing a beat
• Detail-oriented to the core - whether it's a dollar amount or a move-in date, accuracy matters
• A follow-through person - you don't just start things, you finish them
• Strong communication skills - professional, timely, and clear in every interaction

Nice To Haves

• Familiarity with property management software or accounting tools is a plus (we use Rent Manager, QuickBooks, AVID, Outlook, and Nextiva)

Responsibilities

• Greet and assist walk-ins, answer calls, send move-in access codes to new residents, and make sure every person who reaches out feels heard and supported.
• Help prepare move-in packets, track lease signings, confirm utilities are on, and make sure new residents have everything they need before they get their keys.
• Sort and scan mail, enter daily bills, post credit card charges, reconcile purchases, and manually enter completed work orders into QuickBooks.
• Prorate charges for move-outs, support General Ledger entries in AVID, and - as you grow in the role - take on even more financial responsibilities including deposit processing and monthly bill pay.
• Maintain a daily move-in tracker, run a Friday report of all upcoming move-ins for the week, and keep a weekly leasing tracker up to date with move-in details, rent amounts, specials, and pre-leases - all used for owner reporting.
