About The Position

Under the direct supervision of the Property Manager, this position will take the lead in generating traffic, touring guests, providing customer service, and executing leases in a Class-A residential multi-family apartment community. The Resident Relations Manager is to be involved in all capacities of service to the residents, including, but not limited to, identifying qualified tenants, developing consistent tenant outreach programs and events. The Resident Relations Manager is responsible for daily inspections of the physical condition of the common areas of the property. This includes regular maintenance and emergency repairs are being made. Responding to vacancy inquiries, scheduling, and executing leasing tours of available units in effort to maintain high occupancy. This position does not require an active Pennsylvania Real Estate Salesperson license under company brokerage, but Company will reimburse for Real Estate Licensing expenses if Employee wishes to obtain Pennsylvania Real Estate Salesperson licensure.

Requirements

  • High School Diploma or GED.
  • At least one (1) year of commercial property management experience is preferred.
  • Active Pennsylvania Real Estate license (Salesperson designation) is preferred but not mandatory.
  • Experience in business office operations and management.
  • Basic understanding of business functions, account management and tax management.
  • Competency with Microsoft Office products and aptitude to learn new programs.
  • Experience with AppFolio Management Software and Outlook is preferred.
  • This role is based on a 40-hour work week over 5 days in a work week.
  • Schedule may change each week; Currently required to work Saturdays.

Responsibilities

  • Effectively managing Tenant relations.
  • Identifying qualified tenants, developing consistent tenant outreach programs and events.
  • Daily inspections of the physical condition of the common areas of the property, ensuring regular maintenance and emergency repairs are made.
  • Responding to vacancy inquiries, scheduling, and executing leasing tours of available units to maintain high occupancy.
  • Demonstrating thorough knowledge of statewide and national laws regarding tenant screening, Fair Housing practices, leasing tours, disclosing necessary information, prorating and handling rent, and property safety standards.
  • Handling leasing activities, including showing prospects available apartments and working to sell the property to maintain an acceptable closing ratio.
  • Following up regularly with prospects to secure leases and manage applications.
  • Effectively explaining all community policies to new and current residents.
  • Preparing weekly competitive survey reports and analyzing real estate market trends and conditions.
  • Completing follow-up communications and call-backs with prospects after initial community visits.
  • Supporting overall marketing efforts and offering input on promotions and advertisements.
  • Maintaining accurate and in-depth knowledge of all aspects of the community, including rent and pricing, vacancies, availability, lease expirations, and square footage.
  • Monitoring all current and future vacancies to proactively address occupancy needs.
  • Completing and delivering renewal letters, adhering to response time limits.
  • Monitoring delinquency accounts weekly and keeping the Property Manager informed of resident communications.
  • Properly placing and organizing packages for residents.
  • Assisting with ensuring resident insurance is current and valid per lease, and that the Landlord is listed as an interested party.
  • Ensuring required PetScreening has been completed for each resident.
  • Completing Move In Inspections of all vacant apartments to ensure readiness for showing.
  • Leading the creation, marketing, and management of monthly Resident events.
  • Coordinating and organizing events and activities, such as social media postings and parties.
  • Managing quality control for the property housekeeping program, ensuring correct apartments are cleaned and supplies are stocked.
  • Analyzing concerns associated with apartments that are slow to lease and offering recommendations to the Property Manager.
  • Accurately and efficiently preparing and assisting with all leasing paperwork (applications, lease agreements, addenda, employment and credit checks, leasing move-in packets).
  • Maintaining current resident files digitally and physically.
  • Understanding and complying with state and landlord-tenant Fair Housing laws and standards.
  • Accompanying vendors or contractors to resident apartments as needed.
  • Greeting visitors and determining if the community meets client qualifications.
  • Completing service requests and communicating them to the Maintenance Department.
  • Working with the Property Manager to assure curb appeal and property appearance are acceptable.
  • Conducting follow-up activity with all residents to establish positive resident relations.
  • Becoming active in the local business community and developing rapport with the residential community.
  • Making recommendations to management regarding improvements for the overall operation of the community.
  • Assisting and supporting the Property Manager to ensure resident satisfaction and maintaining or exceeding current renewal rates.
  • Supporting leasing activities, including posting to marketing websites, emailing prospective tenants, showing units, obtaining prospect information, and identifying shortcomings.
  • Maintaining on-site availability to address the needs of the Property Manager and tenants.
  • Working Saturdays as required.
