About The Position

The MaineHealth Institute for Research (MHIR) is recruiting a Grants Administrator or Senior Grants Administrator, depending on qualifications and experience, to provide per diem, as-needed support to the Research Grants Office. The office manages research proposal submissions, subawards, award negotiations, and progress reports, and works with Grants Accounting, Principal Investigators (PIs), and the Clinical Trials Office on post-award management. The team also supports the planning, implementation, and evaluation of grant proposals and provides guidance on industry-sponsored agreements, material transfer agreements, and contract service agreements. The office recently implemented Cayuse Sponsored Programs to manage grant proposals and awards. The position will support proposal submissions during surges in activity and other periods when additional assistance is needed, particularly for special initiative announcements with short turnaround times and one-time deadlines. The administrator will work directly with PIs on pre-award proposals and progress reports and assist in other areas as needed. The role combines departmental and central sponsored-programs administration, working with PIs from start to finish on proposal preparation, including budgets and other required components, and interacting directly with sponsors. Grants Administrators review, triage, and submit grants and contracts on time, and help ensure awardees comply with applicable guidelines and administrative practices throughout the project lifecycle. The work requires analytical and evaluative skills to identify and resolve grants-administration issues and knowledge of relevant laws, regulations, agency policies, precedent cases, and other requirements. The work schedule may be flexible between on-site and off-site work from the Scarborough, Maine offices, or fully remote, except from Alaska, California, Colorado, Nevada, Puerto Rico, or Washington, D.C. Applicants must submit a MaineHealth application, cover letter, and resume or CV.
