About The Position

The Registrar serves as the College’s FERPA Compliance Officer and is responsible for the leadership, management, integrity, and security of all student academic records. The Registrar is entrusted with providing vision, leadership, and management oversight for all administrative functions of the Office of the Registrar, ensuring the integrity, security, and accessibility of student records and academic data. The Registrar leads a dedicated team responsible for oversight of student academic records and registration processes, including the maintenance and long term retention of student academic records; the development of the academic calendar and schedule of classes; classroom assignments; course registration system and processes; the collection and distribution of student grades; the certification of enrollment and degrees; the certification for graduation and preparation of diplomas; the enforcement of academic policies; and the maintenance of basic enrollment and demographic data.

Requirements

  • Master’s Degree required; preferred in the areas of High Education, College Student Personnel, Student Affairs Administration, or a related field.
  • Minimum of five years of progressively responsible experience in a registrar's office or related office within higher education (preferred).
  • Thorough knowledge of FERPA and addressing related concerns with regard to the protection of student educational records.
  • Demonstrated strong knowledge of regulatory, professional, and ethical guidelines in enrollment management to ensure compliance with college, state, federal, and other outside agency rules and regulations.
  • Demonstrated expertise in the use of student information systems (Ellucian Colleague preferred), scheduling software, data reporting tools, and document imaging systems.
  • Strong technical skills.
  • Strong leadership and management skills, with the ability to motivate and inspire staff.
  • Excellent analytical, problem-solving, communication, interpersonal, change-management, and conflict resolution skills.
  • Ability to work collaboratively with faculty, staff, and students.
  • A demonstrated pattern of sound judgment, tact, and the ability to handle confidential and sensitive information appropriately.

Responsibilities

  • Manage all aspects of the College’s Registrar’s Office and student records including, but not limited to, department budget, grading, transfer credit, registration, first-year placements, academic calendars, course scheduling, degree and enrollment certifications, submissions to the National Student Clearinghouse, degree audits, the College’s academic calendar, catalog, and course offerings.
  • Oversee the management of policies, processes, and operations of the College in relation to academic records and student success.
  • Serve as the College’s FERPA Compliance Officer and supervises the protection of student educational records under federal privacy regulations.
  • Motivate and lead a high-performance management team; supervise, train, manage, develop team members.
  • Provide leadership for a complex operation that supports students, faculty, advisors, and others across the institution.
  • Maintain and advocate for the highest level of compliance, integrity, and transparency in all areas, especially for educational information and records.
  • Responsible for NYS Department of Labor ETPL program certifications to support grant funding for student enrollment.
  • Serve as the Custodian of Records for Cazenovia College and other legacy records; overseeing the maintenance and management of transcripts, diplomas, and other student records for the closed college.
  • Maintain and manage our student self-service system in collaboration with Information Technology (IT) with regard to access, training, development and implementation of curriculums, advisor information, and overall utilization.
  • Assist Institutional Research (IR) on providing information related to internal data requests that will not be made external.
  • Collaborate with Information Technology (IT) and college partners to deliver data strategies that foster data literacy and integrity among users to better achieve operational goals, improve efficiencies and help inform strategic decisions.
  • Support the college on accurate and timely responses supporting compliance with federal and state requirements as well as institutional audits.
  • Supervise the Director of Academic Athletic Compliance.
  • Remain current on higher education regulations, accreditation standards, industry best practices, and emerging technologies impacting records and registration services.
  • Manage the registration relationships between partner institutions.
  • Serve as a College representative on college-wide committees as needed.
