Requirements

  • Bachelor's degree in business administration
  • 5 years of management and supervision experience
  • Experience in a professional services environment
  • Knowledge and experience in organizational effectiveness and operations management, with a keen interest in process management
  • Proven people management, relationship building and leadership skills
  • Exceptional IT skills are a must

Nice To Haves

  • Bilingual (English /French) preferred
  • Previous experience with office moves and renovation strongly preferred
  • experience working with CaseWare is considered a strong asset

Responsibilities

  • Supervise and assess workload of administrative team members ensuring all regional administrative procedures are carried out in an efficient and effective manner
  • Mentor, motivate and coach team members towards professional and personal development by setting clear expectations, providing feedback and conducting performance reviews
  • Ensure various reports including Accounts Payable (A/P) invoices, expense reports and payroll reports are completed
  • Develop, maintain and monitor accounting systems and procedures; oversee the capture all billings and receipts for the recording of revenue transactions, conduct G/L and variance report analysis
  • Review vacation and overtime stats; meet with managers to off-set overtime hours and/or make necessary adjustments
  • Oversee the tracking T1’s, T2’s, T3’s, T4’s, T5’s, AIDA and NISA
  • Prepare, review and modify general templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials
  • Assist the Regional Managing Partner (RMP) with annual budgeting and planning for the firm
  • Oversee monthly and quarterly assessments and forecasts of firm's financial performance against budget, financial and operational goals; oversee short and long-term financial and managerial reporting
  • Assist RMP with setting up and taking part in regular partner meetings, annual town hall meetings and retreat planning
  • Ensure office resources and supplies are available and in good working order
  • Responsible for overseeing building maintenance and cleanliness, and maintaining office safety and security, liaising with landlords
  • Train team members on MNP systems and methodologies
  • Contribute to the development of new ideas and approaches in order to improve work processes
  • Maintain flexibility to travel, as necessary
