About The Position

The Town of Cochrane is seeking a passionate and detail-driven Records Technician to join their dynamic team. This pivotal role empowers you to shape how records and information are managed, safeguarded and accessed, strengthening the community and organization. This is a term position from September 2026 until March 2028, offering a unique opportunity to contribute over an 18-month period. The successful candidate will help build and sustain efficient operations that benefit the community and work in an environment that values contributions and supports collaboration and growth. The Town is seeking a detail-oriented, collaborative, and service-driven Records Technician to support the development, coordination, and continuous improvement of the Town’s Records Management Program. This role ensures the Town’s information is managed efficiently, securely, and in compliance with corporate policies, directives, AITA/POPA, and the Municipal Government Act (MGA). Experience in administration, medical records, or legal assisting, with a focus on managing sensitive information with accuracy, confidentiality, and structured attention to detail, will set candidates up to excel.

Requirements

  • A CRM designation, IAPP certificate, or equivalent experience.
  • Two+ years working with records systems, retention schedules, classification structures, and AITA/POPA.
  • Knowledge of the MGA and information governance principles.
  • Experience delivering training and supporting staff in records processes.
  • Strong technical skills in MS Office, Adobe, and RIM software.
  • High accuracy, attention to detail, and strong organizational skills.
  • Effective communication, customer service, and ability to work independently in a fast-paced environment.
  • Collaborative approach to building strong working relationships.
  • Must be legally entitled to live and work in Canada.

Responsibilities

  • Manage the full lifecycle of the Town’s records - creating, organizing, preserving, and securely disposing of information in accordance with legislation, policies, and retention schedules.
  • Support departments across the organization.
  • Advance electronic records management systems.
  • Ensure information is accessible, accurate, and protected.
  • Maintain and organize electronic and physical records to ensure proper classification, retention, and quality control.
  • Support records management policies, procedures, system manuals, and corporate records projects.
  • Coordinate record transfers, inventories, scanning, preservation, and annual destruction processes and maintain RecFind.
  • Assist with ATIA requests, complete searches, redactions, fee estimates, and preparation of information for release.
  • Provide advice and guidance relating to POPA compliance.
  • Provide training and customer service and support privacy reviews, litigation documentation, disaster recovery, and Commissioner for Oaths duties.
