About The Position

The Nature Conservancy of Canada (NCC) is seeking a Records and Information Management Intern to join its Information Technology Team. This role will support content management projects, focusing on helping staff utilize internal document management tools. The intern will assist with integrations with Microsoft 365 and other NCC systems, as well as data cleanup initiatives. This position offers an opportunity to gain insight into organization-wide content management while supporting the Records and Information Management team.

Requirements

  • Be aged between 15 and 30 years old on the start date of the job
  • Have a valid Social Insurance Number (SIN)
  • Be a Canadian citizen, a permanent resident of Canada, or a person who has been granted refugee status in Canada

  • Proficiency with SharePoint and Microsoft 365 an asset
  • Information and/or records management education or experience an asset
  • Working knowledge of Microsoft Office suite
  • Demonstrate a strong attention to detail with a high level of accuracy

Responsibilities

  • Support data cleanup across SharePoint Online, archival file shares, and other systems, ensuring accuracy and consistency.
  • Support the organization of files into logical, user-friendly structures that align with organizational taxonomy and governance standards.
  • Apply metadata tagging and classification to improve searchability and compliance.
  • Support reporting on cleanup progress and file organization, including metrics and trends, using tools such as Power BI.
  • Support automation and process improvements to streamline data management activities.
  • Support the preparation of disposition packages by organizing files ready for disposition and creating approval documentation.
  • Support disposition, including deleting approved sets and creating disposition log records.
  • Support the development of documentation for records management processes, workflows, and system automations to ensure consistency and ease of adoption.
  • Assist updates for procedural guides and governance documentation for SharePoint, Digital Asset Management (DAM), and related systems.
  • Support the creation of visual aids such as flowcharts or diagrams to illustrate complex processes for end-users.
  • Collaborate with stakeholders to validate documented workflows and incorporate feedback for continuous improvement.
  • Assist with communication strategies to ensure successful adoption and awareness of policies and procedures across the organization.
  • Help develop and distribute guidance materials, FAQs, and user-friendly resources.
  • Provide feedback and track user engagement to improve rollout effectiveness.
  • Support digitization initiatives, including scanning and converting physical records to digital formats.
  • Coordinate with Iron Mountain for physical records management, including retrievals, transfers, and disposition.
  • Assist with project coordination for records modernization efforts.
