About The Position

The Receptionist will be responsible for answering incoming telephone calls, welcoming visitors, managing mail and shipments, and providing general clerical support. This role involves directing calls, taking messages, answering basic inquiries, and ensuring a smooth visitor experience. The position also includes managing office supplies and supporting the sales team as needed.

Requirements

  • High school diploma or general education degree (GED).
  • One to three months related experience and/or training, OR equivalent combination of education and experience.
  • Proficient with Microsoft Office Products.

Responsibilities

  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department.
  • Cover Main Line calls from Mason beginning at 4 PM CST until 5 PM CST (or as needed).
  • Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable.
  • Answer questions about the organization and provide callers with address, directions, and other information.
  • Scan Bill of Materials from daily shipments and add documents under supplements tab in TopVis.
  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Monitor visitor access via daily sign-in and issuing of visitor badges (provide safety gear when applicable).
  • Set up welcome board for visitors.
  • Sort incoming mail and prepare outgoing mail each day.
  • Responsible for shipping out VEGA Inventory items as instructed by Sales.
  • Monitor supplies for postage meter machine and invoice printer paper, re-order supplies accordingly.
  • Create and print documents when necessary.
  • Support Sales as needed.
  • Perform other clerical duties as needed.
