About The Position

The Statewide Organizational Support (SOS) Team at CRLA provides essential support to all offices and programs whenever additional assistance is needed. By supporting our staff, we are better able to serve our clients. Our team works across all of CRLA's practice areas, providing flexible, responsive assistance that strengthens services throughout the organization. The Receptionist position plays a key role by providing phone and intake coverage for CRLA offices statewide, helping ensure clients are connected to legal services and that offices continue to operate efficiently.

Requirements

  • At least one (1-3) year of legal receptionist experience or equivalent.
  • Accurately type 40 w.p.m.
  • Knowledge of computer software, including, but not limited to, Microsoft Windows. Microsoft Office Suite, Table of Authorities, Internet & email skills.
  • Ability to learn data entry and correctly enter information into CRLA’s case management system.
  • Knowledge of or ability to learn and obtain proficiency in all office equipment functions such as copiers, fax, and scanners.
  • Ability to work collaboratively with all CRLA staff, clients, and community organizations.
  • Ability to maintain client confidentiality at all times.

  • Prior experience in legal services.
  • Bilingual (English & Spanish) required.

Responsibilities

  • Greets clients and prospective clients who come to the office with a positive, calm, and supportive demeanor.
  • Answers phones, responds to inquiries in person and over the phone from the public and clients.
  • Transfers calls to the appropriate person in a busy law firm.
  • Refers callers and visitors to appropriate community resources and services.
  • Performs various responsible secretarial duties such as setting up and/or maintaining filing systems and appointment calendars, answering inquiries over the phone or in person, and managing secretarial and administrative details with minimum direction.
  • Assists Legal Secretary to type, review, and ensure all legal documents/enclosures are in proper processing order and that correspondence is grammatically correct.
  • Independently composes outgoing correspondence cover sheets to send client correspondence or copies to third parties.
  • Files documents with the court and stay updated with changes in local court rules and procedural requirements for litigation.
  • Assists legal staff and Legal Secretary to maintain records relating to legal matters in process and ensure that legal requirements and deadlines are met.
  • Operates a variety of office machines.
  • Assists attorneys or legal staff with translating and interpreting for non-English speaking clients in attorney-client interviews and correspondence when requested.
  • Accurately input case and project information into Case Management System, including time records, calendaring, and other information as directed.
  • Maintains referral sheets and updates informational material.
  • Provides support to the Administrative Legal Secretary as needed.
  • Assists with library maintenance.
  • Performs other normal law office duties as assigned.
