About The Position

This role combines administrative management and receptionist duties. The selected candidate will support the North America Leadership Team by coordinating travel, communications, and executive meeting planning, while also ensuring the smooth day-to-day operation of the reception area (phone, coffee, mail, etc.). The ideal candidate demonstrates a positive, customer-service oriented attitude and thrives in a dynamic, ever-changing environment.

Requirements

  • Diploma or degree in office administration, or equivalent experience.
  • Minimum of 3 years’ experience supporting leadership roles.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills in both English and French.
  • High level of professionalism, confidentiality, and attention to detail.
  • Comfortable in fast-paced environments with shifting priorities.
  • Accommodating, flexible and customer focused.

Responsibilities

  • Coordinate reservations: make travel, hotel, restaurant reservations.
  • Set up for meetings: ordering food and refreshments, set up of conference room (video conferencing, conference call access, Teams, book outside facilities, order required meeting equipment, etc.).
  • Provide administrative support to the North America Leadership team, as required.
  • Prepare and format documents such as letters, spreadsheets, schedules, and PowerPoint presentations.
  • Coordinate special projects or initiatives on behalf of the Leadership Team.
  • Reconcile all expenses (credit cards, cash, travel etc.); Search for required justifications, support info, and ensure timely submission to accounting of complete information.
  • Manage the access gate and greet visitors in a professional, welcoming manner.
  • Manage the main phone line, screen calls, and transfer calls appropriately.
  • Monitor and maintain the reception area to ensure it is clean, organized, and presentable.
  • Handle incoming and outgoing mail and packages.
  • Supporting the Human Resources team with ad hoc projects.
  • Respond to urgent or time-sensitive matters outside of regular working hours, when necessary.
