About The Position

Reporting to the Associate Director of Sales Operations, the Proposal Coordinator is primarily responsible for coordinating the end-to-end new business and existing business proposal process which includes: Manage incoming new and renewing business proposals (simple and complex), including; assisting Sales and Sales Operations leadership with critical review of each opportunity to determine “fit”, bid/no-bid decision and key elements of pursuit strategy Creating a project plan, responsibility matrix and strategy meeting agenda for the opportunity Scheduling and facilitating a strategy meeting with the appropriate staff; documenting and distributing key decisions, next steps and follow-ups Collaborating with the Business Development Coordinator to review first pass pre-population of responses and SME assignments; suggesting any necessary edits before assignments are sent Carefully reviewing draft responses and rewriting as needed to ensure accuracy, positioning of HPI, proper level of detail, use of appropriate style templates, correct grammar etc. Sending recommended final proposal to Sales and/or other stakeholders; reviewing with them to make any necessary adjustments Assembling final proposal package electronically; sending or communicating with Sales to make sure proposal package is sent prior to the stated deadline Coordinating responses to follow-up questions from proposals already submitted Scheduling and facilitating proposal debriefs including but not limited to; recommending and refining content which should be saved in the proposal library and suggesting and supporting changes to processes As requested, management of existing proposal library including periodic updates of standard content

Requirements

  • A bachelor’s degree or equivalent experience
  • 2-3 years experience in a proposal coordinator role
  • Prior experience in the insurance industry, preferably health insurance
  • Excellent project and time management skills
  • Ability to work independently and as part of a team
  • Exceptional business writing and editing skills, preferably in business and health care context
  • Excellent interpersonal skills including relationship-building with employees at all levels
  • Advanced skills in MS office programs including Word, Excel, PowerPoint, Outlook and SharePoint
  • Intermediate level skills in Adobe Acrobat
