Proposal Coordinator I - Intern

Zachry Group•Charlotte, NC

About The Position

The Proposal Coordinator I intern assists with proposal development, writing, technical coordination, and process improvement. The intern drafts, edits, organizes, and proofreads proposal content using established templates and prior materials, helping make technical and project information clear, concise, and client-focused. The role also helps assemble proposal sections and perform quality checks before internal review or submission. The intern works with proposal personnel, engineers, project managers, and subject matter experts to gather inputs, identify missing or conflicting information, and follow up on open items. The position offers exposure to proposal planning and to how technical scope, assumptions, schedules, pricing, and client requirements are incorporated into proposals. The role supports updates to templates, checklists, standard language, reusable content libraries, and proposal records. It also supports supervised use of Microsoft 365 and AI-assisted tools for research, drafting, document review, and workflow efficiency. The intern completes at least one defined process-improvement assignment that leaves the proposal function with a useful tool, template, reference, or documented recommendation. The internship provides exposure to how proposal work connects with the developing Project Support model and engineering and project teams. The intern may support selected Project Support assignments when they provide useful experience and fit the internship schedule, and may observe career paths in engineering, project management, business development, and project support. Expected outcomes include contributing usable work to active proposals, developing proposal-writing and stakeholder collaboration skills, understanding the proposal process from initial request through submission, and presenting a completed improvement deliverable or recommendation at the end of the internship.
