About The Position

Join one of the nation’s premier academic medical centers, UChicago Medicine, as a Project Manager – System PMO. This position is based on-site at Hyde Park, with some remote flexibility. Some travel to alternate site locations around Chicagoland will be required. In this role, the Project Manager – System PMO is responsible for facilitating successful project delivery including the planning, scheduling, execution, and closing of all assigned projects within established budget and schedule. Utilizing Project Management (PM) methodologies, while managing all project team members (organizational resources and engaged third party vendors/consultants) to deliver solutions according to project scope and goals. Supporting the execution and coordinating the projects of multiple team members and leaders. Overseeing relevant project documents and deliverables and report on progress throughout the project life cycle as well as acquiring a deep understanding of internal administrative systems and existing capabilities, to support the operations team in the efforts to drive operational efficiencies and provide solutions to a variety of business challenges. Providing guidance, coaching and support for less experienced colleagues.

Requirements

  • Bachelor’s degree in business administration, projection management, health care, or related discipline
  • At least five years of project management experience
  • Strong organizational, analytical and communication skills
  • Through knowledge of formal project management methodologies and proven skill in effective execution
  • Proficient and functional knowledge of MS Office (including Work, Excel, PowerPoint, Visio, Access, Outlook) and Project Management software
  • Thorough knowledge of formal project management methodologies and proven skill in effective execution
  • Strong time management and prioritization skills
  • Ability to execute project management leveraging Lean process improvement methodology
  • Ability to work effectively with individuals at all levels in the organization
  • Demonstrates strong knowledge and competency regarding lean tools, methods and mindset
  • Hours outside normal business hours may be occasionally required to meet project deadlines
  • Requires prior experience managing multiple large projects and working effectively in multidisciplinary groups

Responsibilities

  • Identifies and manages project resource needs and goals - strategies, staffing, scheduling, issue resolution, contingency plans, communication plans, and change control.
  • Responsible for all phases of project, assigning individual responsibilities, coordinating activities of project team, identifying appropriate resources needed, and developing schedules to ensure timely completion of project.
  • Provides support for capturing current workflows, identifying improvement opportunities and developing future workflows.
  • Track and report status (progress, next steps, issues) against project plans to appropriate stakeholders and senior management based upon agreed to communication plans.
  • Conducts project lessons learned sessions and creates recommendations report to develop best practices and tools for project execution and management.
  • Establishes project governance with key leaders and stakeholders and facilitate governance activities to ensure leadership effectively clears roadblocks and promotes the success of the project.
  • Guides teams as they work with project sponsors and business stakeholders to define project scope, objectives, tasks, milestones, budgets, and measures of success.
  • Guides team in the maintenance of project management guidelines, training programs, policies, and procedures.
  • Effectively manages multiple projects simultaneously leveraging required and available resources.
  • Performs other duties as assigned.
