About The Position

The Project Coordinator will play a critical role in supporting the Partnership Office’s mandate as a central hub for industry, government, and community engagement. The coordinator will provide day-to-day operational and coordination support while contributing to the design and delivery of Partnership Office initiatives, programs, workshops, events, services, and communications. This role will support the effective execution of partnership activities, including coordination across internal units and external partners, maintaining systems and processes that track engagement, and ensuring alignment with institutional priorities. The Project Coordinator will also support CRM management, partnership tracking, and reporting, and may be assigned to special projects that advance strategic partnership development.

Requirements

  • Three year post-secondary degree with preference given to candidates with a degree in business, communications, marketing, public relations, or public policy
  • An equivalent combination of education and related experience may be considered.
  • Three to five years experience with providing administrative assistance preferred
  • Demonstrated ability in various aspects of communication and project management
  • Strong judgement, flexibility and adaptability
  • Ability to work cooperatively within a team and independently with minimal supervision
  • Strong interpersonal, organizational, and time management skills
  • Outstanding written and verbal communications skills with a strong ability to convey complex information in a variety of formats, including websites and social media
  • Excellent and demonstrated analytical, technical and problem-solving skills

Responsibilities

  • Coordinate Partnership Office's day-to-day operations
  • Support the execution and coordination of Partnership Office activities by working closely with internal stakeholders, faculty, and external partners
  • Ensure deliverables across partnership initiatives, agreements, and internal priorities are tracked and met on time
  • Plan, coordinate and execute administrative functions of the Partnership Office, including budget tracking, reporting, and operational processes, in alignment with strategic priorities
  • Maintain and support operational tools and systems (e.g. CRM/PRM platforms, reporting tools), as well as inventory and physical resources
  • Supervise student interns as appropriate
  • Coordinate Partnership Office projects and initiatives
  • Coordinate Partnership Office initiatives, including partnership agreements, strategic projects, workshops, events, services, and communications
  • Work collaboratively with internal teams, faculty, and external partners to advance projects and ensure alignment with institutional and partner objectives
  • Maintain and update project management and tracking tools to provide visibility into partnership activities, timelines, and deliverables
  • Support coordination of cross-functional initiatives that require alignment across multiple academic and administrative units
  • Develop, guide and help maintain Partnership Office communications, including websites, social media and newsletters
  • Liaise with internal departments including Communications and Marketing, Advancement, Engineering Outreach, and others as required to ensure project success
  • Provide support to the Partnership Office Director, External Relations and Partnerships as required to ensure deliverables are met
  • Provide support for development of meeting and speaking engagement materials including presentations and briefing notes
  • Assist in the development of reports, including annual reports, partnership impact summaries, and performance tracking against agreements and KPIs
  • Support agreement tracking against deliverables, and support coordination of renewal meetings, agendas, meeting minutes and other communications
  • Support development of applications for grants and funding proposals
  • Support adherence of Partnership Office communications, internally and externally, to equity, diversity and inclusion as well as, sustainability - environment, social and governance (ESG) principles
  • Support the coordination and execution of partnership engagement activities, including meetings, site visits, tours, and events.
  • Act as a liaison to coordinate logistics, materials, and follow-up for partner interactions and relationship management activities
  • Represent the Partnership Office at internal and external meetings and events, as appropriate
  • Support the development and maintenance of relationships with internal and external stakeholders
  • Assist in capturing and documenting engagement activities to support institutional market intelligence and partnership tracking
  • Support adherence of Partnership Office engagement, internally and externally, to equity, diversity and inclusion as well as, sustainability - environment, social and governance (ESG) principles

  • The position falls within the bargaining unit represented by the Ontario Public Service Employees Union (OPSEU) and will be subject to the terms and conditions of the collective agreement between the university and the OPSEU.
