About The Position

The Project Coordinator will provide day-to-day operational support to the BEI team and contribute to the design and delivery of BEI programs, initiatives, workshops, events, services and communications. This position will work closely with the Director to ensure that all operational needs are met, and to ensure programs are delivered efficiently and effectively. The Project Coordinator may also be assigned to work on special projects.

Requirements

  • Completion of a university degree consisting of four academic years in business, communications, marketing, engineering, public relations, or public policy
  • 1–3 years of experience in at least three of the following: Project coordination and administrative support experience in a professional setting, Communications and outreach, including digital content and reports, Experience in stakeholder engagement and relationship management, Experience in the energy, research, or post-secondary sector
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Project coordination and multi-tasking abilities
  • Digital content creation and social media management
  • Meeting planning and documentation (e.g., agendas, minutes)
  • Budget tracking and administrative reporting
  • Grant and proposal writing support
  • Technical proficiency with virtual meeting tools and AV equipment
  • Relationship-building and stakeholder engagement
  • Ability to work independently and collaboratively in a team setting

  • Familiarity with university environments, governance, and administrative systems
  • Awareness of clean energy research, innovation ecosystems, and sustainability principles
  • Knowledge of communications strategies for public engagement and outreach

Responsibilities

  • Facilitate the growth of BEI initiatives by coordinating with BEI staff and contractors, other Ontario Tech staff, faculty members and industry partners
  • Provide support to the BEI director and ensure the deliverables of BEI team and involved individuals are met on time and all requirements are completed
  • Plan, coordinate and execute administrative aspects of BEI including budgets and program reports, working with the director to grow BEI, strategically and effectively
  • Maintain BEI’s physical space, equipment and tools
  • Supervise student interns and support special project delivery as assigned
  • Develop and manage BEI communications including websites, newsletters, social media, and digital outreach tools
  • Liaise with internal departments including Communications and Marketing, Advancement, and others as required to ensure project success
  • Represent BEI at internal and external meetings, workshops, and events
  • Build and maintain direct relationships with stakeholders and partner organizations to support knowledge exchange and execution of projects
  • Support the development of materials for public speaking, engagements, and meetings (e.g., presentations, briefing notes)
  • Support the development and production of key reports
  • Assist in the preparation of grant and funding applications and related documentation
  • Track and contribute to BEI initiatives and deliverables across its three program areas
  • Maintain stakeholder, participant, and project databases to support program tracking and evaluation
  • Provide technical support for virtual meetings, events, and digital platforms
  • Coordinate with the Director to ensure alignment with BEI’s strategic growth and mandate
