About The Position

The Theatre Business Development & Operations Coordinator supports the operational and technical delivery of events at the Regent Theatre, with a focus on backstage operations, facility coordination, and rental activity. Reporting to the General Manager, this role is responsible for coordinating the day-to-day “show business” of the theatre, including calendar execution, production support, and ensuring the facility operates effectively as both a performance venue and rental space. The role plays a key part in supporting revenue generation through rentals, maintaining strong relationships with clients and partners, and ensuring events are executed safely, efficiently, and to a high standard. The Coordinator also provides on-site operational leadership during events and may act as the primary contact in the absence of the General Manager.

Requirements

  • Two year post-secondary diploma or degree in theatre production, technical production, event management, or a related field
  • Equivalent combination of education and relevant experience in a live event or theatre environment will be considered
  • Minimum 3–5 years of experience in a theatre, live events, or entertainment venue environment (required), with hands-on involvement in production, backstage, or technical operations
  • Experience coordinating events or productions, including scheduling, staffing, and working with multiple stakeholders (e.g., artists, clients, technical crews)
  • Experience supporting or managing facility rentals, event logistics, or client relationships in a customer-facing environment
  • Knowledge of theatre production and backstage operations, including technical requirements, run-of-show coordination, and artist/crew needs
  • Understanding of health and safety practices in a live event or technical environment.
  • Familiarity with event scheduling, contracting processes, and basic principles of revenue generation in a venue setting
  • Ability to organize and support multiple events, ensuring all operational and technical requirements are met
  • Strong ability to work with a wide range of stakeholders, including clients, performers, technical crews and internal teams.
  • Ability to respond to real-time issues during events, make sound decisions within scope, and escalate when appropriate
  • Ability to build and maintain positive relationships with rental clients and ensure a high-quality event experience
  • Ability to provide guidance to crew and support team coordination while working collaboratively within a broader operational structure
  • Sustained concentration and attention to detail required to coordinate multiple marketing campaigns, maintain digital platforms, and ensure accuracy of promotional materials and event information
  • Ability to manage competing priorities and shifting deadlines, requiring frequent task-switching organization, and prioritization
  • Problem-solving and sound judgment required during live events, including responding to real-time issues and remaining focused and composed in a fast-paced environment.
  • Frequent standing and walking for extended periods during event setup, rehearsals, and performances
  • Ability to lift, carry, and move moderate-weight equipment and materials (e.g., staging elements, technical equipment)
  • Regular movement throughout the facility, including backstage areas, loading zones, and stairs.
  • Occasional physical setup and coordination of event and production elements in a dynamic environment

Responsibilities

  • Support the active management of the theatre calendar to maximize utilization and revenue-generating opportunities
  • Build and maintain strong working relationships with new and existing rental clients to support repeat business and long-term partnerships
  • Assist in identifying and pursuing new rental opportunities to increase facility use and revenue
  • Coordinate event bookings, including preparing and supporting contract documentation, and assisting with contract review and negotiation as required
  • Ensure all event details are accurately captured, scheduled, and communicated to relevant stakeholders
  • Coordinate and oversee backstage operations to support the successful execution of all events
  • Act as a key point of contact for production-related needs, working closely with artists, promoters, and technical teams
  • Ensure all performance information (e.g., schedules, technical requirements, run-of-show) is communicated clearly to crew and stakeholders
  • Provide guidance and coordination related to event logistics, artist hospitality, and technical requirements
  • Support load-ins, rehearsals, performances, and load-outs to ensure smooth and efficient operations
  • Coordinate and schedule technical staff and crew based on event requirements
  • Work with internal teams and external providers to ensure appropriate staffing levels for each event
  • Support supervision of backstage personnel during events to ensure tasks are completed effectively and safely
  • Assist in ensuring events are delivered in accordance with theatre standards, timelines, and contractual obligations
  • Work collaboratively with University partners to support building operations, maintenance, and capital improvement initiatives
  • Monitor theatre systems and facilities to ensure consistent, reliable operation
  • Coordinate routine maintenance and address operational issues as they arise, escalating where required
  • Support the upkeep of backstage and technical areas to ensure a safe and functional working environment
  • Support compliance with all applicable health and safety regulations for staff, crew, and performers
  • Promote safe work practices and ensure adherence to theatre policies and procedures
  • Provide on-site operational support during events, including evenings and weekends
  • Act as the “Manager in the Building” as required, addressing routine operational matters and escalating issues as appropriate
  • Assist in responding to incidents or emergencies in accordance with established protocols
  • Maintain effective working relationships with internal teams, external partners, and clients
  • Contribute to a collaborative, service-oriented environment that supports high-quality event delivery
  • Perform other related duties as assigned in support of theatre operations
