About The Position

The Project Coordinator role supports compliance and accreditation standards (e.g., Commission on Cancer), quality improvement initiatives, outcomes reporting, and operational decision-making within the cancer program. This role will oversee the administrative management of the Cancer Tumor Conference program and is responsible for the accurate collection, abstraction, validation, analysis, and reporting of cancer-related clinical and programmatic data. This role works collaboratively with physicians, nursing, tumor registry, quality teams, and administrative leadership to ensure data integrity and program performance. Coordinate day to day operational, business, and communication needs.

Requirements

  • Associates degree required in health information management, healthcare administration, public health or related field.
  • 2+ years of relevant experience in field
  • An equivalent combination of education and relevant experience

Responsibilities

  • Coordinates and attends assigned cancer conferences, arranges conferences per physician request.
  • Coordinates any changes with all appropriate departments.
  • Organize all medical information needed for case presentations.
  • Communicates required information for all disciplines involved participating in conferences
  • Responsible for all pre-meeting, during meeting and post meeting activities/requirements for numerous tumor conference(s)
  • Prepares and distributes case lists as per conference needs.
  • Responsible for CME yearly application with Medical Society of Delaware and Academic Affairs, including required financial disclosures and CVs from presenting providers and compiles outcome reports per application requirements.
  • Provides details for CME obtainment per specific conference
  • Secures conference facilities, equipment and catering as needed.
  • Abstracts, collect and maintain high-quality oncology data from electronic medical records (EMR) pathology reports, operative notes, and treatment documentation.
  • Maintains documentation to support American College of Surgeons- Commission on Cancer standards and Medical Society of Delaware CME compliance
  • Ensure accurate and timely entry of data into cancer registries, clinical databases, and reporting systems
  • Collaborate with program director on conference processes.
  • Support compliance with Commission on Cancer (CoC) accreditation standards including analyzes monthly status of cases presented and reports to program director if out of standards per requirements as defined by Commission on Cancer standards and cancer program goals.
  • Communicates all issues/problems requiring intervention to director to facilitate timely resolution.
  • Seeks to maintain and update knowledge and skills to achieve goals for cancer program
  • Complete Cancer Conference Status Report monthly and attends quarterly Commission on Cancer Committee meeting providing timely report out details.
  • Complies with every three-year Commission on Cancer site survey.
  • Maintains records for doctor’s attendance and reports to program director as per requested
  • Maintains good rapport with physicians, radiology department, pathology department and all other internal/external customers.
  • Keeps physicians updated on all future conferences, and any changes in the usual schedule immediately.
  • Ensure compliance with HIPAA and organizational polices related to patient privacy and data security.
  • Maintains secure handling, storage, and transmission of sensitive health information.
