About The Position
8-koi is seeking a highly organized and dependable Project Coordinator to support our project management and field teams. This position helps keep projects organized, documentation current, and critical project activities moving forward. The ideal candidate is detail-oriented, proactive, comfortable managing multiple priorities, and able to communicate effectively with project managers, superintendents, subcontractors, vendors, and customers. Must be living in Central Florida, not a remote position.
Requirements
- Bachelor’s Degree and/or certification preferred
- Strong organizational and time-management skills
- Excellent attention to detail
- Ability to manage multiple projects and priorities.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, particularly Word, Excel, Outlook, and preferably Microsoft Project.
- Ability to follow through and independently track outstanding items.
- Should be a reliable resource for our project managers and field personnel and will help ensure that important details don't fall through the cracks.
Nice To Haves
- Construction industry experience is preferred.
- Experience with project documentation, scheduling, or project management software is a plus.
- Ability to take ownership, follow through, and keep things moving.
Responsibilities
- Set up and maintain project files, documentation, and electronic filing systems.
- Support Project Managers and Superintendents with day-to-day project administration.
- Coordinate submittals, RFIs, transmittals, purchase orders, subcontracts, and project correspondence.
- Maintain project logs, including RFIs, submittals, changes, punch lists, and critical action items.
- Assist with maintaining Microsoft Project schedules and tracking project milestones.
- Prepare and maintain Schedules of Values and assist with project financial tracking.
- Coordinate project documentation and information with the Accounting Department.
- Track insurance certificates and other required subcontractor and vendor documentation.
- Assist with project meetings, agendas, minutes, and follow-up action items.
- Support project closeout, including punch lists, closeout documentation, and project archives.
- Assist with proposal preparation and other business development activities.
- Provide general administrative and office support as needed.
