About The Position

This position provides and coordinates centralized comprehensive administrative support for EAM teams including Real Estate, Planning, Design & Construction, and Facilities Operations. The position provides improved and standardized presentations and reporting and coordinates and supports meetings and initiatives through meeting scheduling, agenda preparation, and preparation of meeting notes and action lists. The position also develops and maintains internal and external EAM communications. Strong organization, administration, and communication skills are essential for success.

Requirements

  • Bachelor’s Degree in Arts, Business, Communications, English, Graphic Design or substantial relevant experience
  • 2 years progressively responsible experience in administrative support or communications is required.
  • Excellent interpersonal and communication skills, including writing and editing are required.
  • Ability to use graphic design principles to develop clear and compelling presentations is required.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook is required.
  • Ability to manage multiple priorities required.

Nice To Haves

  • Knowledge of healthcare and/or higher education Facilities Management functions is preferred.
  • Graphic design skills are preferred.

Responsibilities

  • Coordinates and supports EAM initiatives, including meeting scheduling, preparation of agendas and meeting notes, and development of action lists.
  • Develops and maintains internal and external EAM communications.
  • Develops and maintains improved and standardized EAM presentations and reporting, including executive presentations and reporting.
  • Manages EAM electronic document storage to ensure retention, security, and appropriate access.
  • Establishes effective working relationships with Jefferson enterprise marketing and communications team, executive assistants, and key customers of EAM services.
  • Specializes in providing a high level of service and strategic direction in the development of project materials.
