Requirements

  • 2–4 years of experience in a project coordination, project management, or operations role.
  • Proven ability to manage multiple projects simultaneously in a fast-paced environment.
  • Strong written and verbal communication skills — comfortable presenting updates to clients and internal leadership.
  • Proficiency with project management tools (e.g., ConnectWise, Autotask, Microsoft Project, Asana, or similar).
  • Solid working knowledge of Microsoft Office 365 — particularly Outlook, Excel, and Teams.
  • Excellent organizational and time management skills with a sharp attention to detail.
  • Ability to identify and resolve scheduling conflicts and resource constraints proactively.
  • Customer-focused mindset — you treat every client interaction as an opportunity to build trust.

Nice To Haves

  • Experience working in a Managed Service Provider (MSP) or IT services environment (highly preferred).
  • Familiarity with IT infrastructure concepts — networking, cloud, hardware deployments, or Microsoft 365 migrations.
  • Experience with PSA (Professional Services Automation) platforms such as ConnectWise Manage or Autotask.
  • PMP, CAPM, or similar project management certification is a bonus.
  • Experience coordinating hardware/software procurement and vendor relationships.

Responsibilities

  • Define project scope, timelines, milestones, and resource requirements in collaboration with engineers and account managers.
  • Coordinate internal resources, third-party vendors, and client stakeholders to ensure all project activities are aligned and on schedule.
  • Serve as the primary point of contact for clients throughout project delivery — providing clear, proactive updates on status, timelines, and any changes.
  • Identify potential project risks, escalate issues early, and work with the team to implement mitigation strategies.
  • Maintain detailed project documentation, including project plans, status reports, meeting notes, change orders, and post-project reviews.
  • Monitor project budgets and flag variances to leadership promptly.
  • Coordinate hardware and software procurement, track order status, and ensure timely delivery to support project schedules.
  • Contribute to the continuous improvement of project management processes, templates, and best practices across the team.
  • Act as the bridge between engineering, sales, and client success teams — ensuring seamless handoffs and consistent communication throughout the project lifecycle.
