About The Position

The Project Coordinator serves as a critical support partner to Repair Project Managers and field teams. This role is responsible for moving jobs from estimate to completion by ensuring accurate documentation, clear communication, timely approvals, and on-track billing. The Project Coordinator will manage Accounts Receivable for their team's repair projects, ensuring invoices are sent promptly and collected in full. This position is ideal for an organized individual who thrives in a fast-paced environment, enjoys structure, and can bring order, urgency, and follow-through to a busy operation. Success in this role directly contributes to the Project Managers' focus on production, the support of field staff, and a positive customer experience during stressful times.

Nice To Haves

  • At least 3 years of administrative, project coordination, or project management support experience.
  • Experience in construction, restoration, insurance, or service-based operations.
  • Experience working in CRMs, job management platforms, spreadsheets, and documentation-heavy environments.

Responsibilities

  • Maintain and monitor repair jobs in job management software, ensuring job status, participants, and documentation are accurate and up-to-date.
  • Provide a high level of customer service through professional, empathetic, and calm communication.
  • Track Work In Progress (WIP) and ensure job records align with actual project activity.
  • Identify and help resolve bottlenecks such as pending sales items, missing paperwork, or delayed approvals.
  • Send estimates to insurance adjusters and follow up on approvals in a timely and professional manner.
  • Maintain consistent communication with homeowners regarding scheduling, updates, and next steps.
  • Submit final documents, including certificates of satisfaction, estimates, and final photos, and track payment progress.
  • Prepare and send invoices promptly, confirm receipt, and conduct weekly follow-ups on outstanding balances.
  • Coordinate with accounting on aging receivables, mortgage endorsements, and payment workflows.
  • Ensure selections and change orders are completed accurately and signed before work commences.
  • Prepare for and participate in production meetings, including WIP and scorecard reporting.
  • Support Repair Project Managers and field staff by managing administrative tasks to ensure project efficiency.
