We are seeking a highly organized and detail-oriented Project Coordinator/Project Manager to support our service and project operations. This is a fast-paced, office-based role that combines dispatch coordination, project administration, and customer support. Unlike a traditional field-based project management role, this position focuses on coordinating projects from an operational and administrative standpoint, working closely with technicians and internal teams to ensure smooth execution from start to finish.

Requirements

  • Minimum 2 years of related experience
  • Post secondary education required
  • Strong customer service mindset
  • Excellent organizational and time management skills
  • Ability to priorities and manage multiple tasks in a fast-paced environment
  • Strong communication and interpersonal skills
  • Proficiency with computers and ability to learn new systems quickly
  • Detail-oriented with strong problem-solving abilities
  • Self-motivated, proactive, and team-oriented

Nice To Haves

  • Experience in dispatching, service coordination, or project administration is an asset

Responsibilities

  • Coordinate and dispatch technicians using internal systems and tools
  • Create and manage work orders, ensuring accuracy of job details and site information
  • Support technicians with scheduling, job updates, materials, and site coordination
  • Review and process technician reports and service recommendations
  • Support end-to-end project coordination, ensuring timelines and deliverables are met
  • Prepare quotations and assist with project costing
  • Coordinate labour, materials, and scheduling requirements
  • Maintain project documentation and track progress
  • Act as a central liaison between technicians and internal stakeholders
  • Manage parts including inventory, warranties, shipping/receiving, and tracking
  • Support contract administration and documentation
  • Maintain accurate records in internal systems
  • Process service reports and documentation
  • Prepare and manage invoicing
  • Ensure accuracy and completeness of all records
