About The Position

San Diego-based commercial property services company seeking an experienced Project Coordinator – Dispatch to join our growing team. LOT Property Services is seeking a highly organized and customer-focused Project Coordinator – Dispatch to support our General Property Services division for Southern California, including San Diego and Los Angeles regions. This role is responsible for coordinating daily service operations by scheduling technicians, managing work orders, coordinating with vendors, communicating with clients, and ensuring timely completion of maintenance and repair services. This position works with Project Managers to coordinate daily scheduling priorities, resolve service delivery challenges, and balance technician workloads.

Requirements

  • At least 2 years of dispatching, scheduling, service coordination, or similar experience required.
  • Experience supporting field service in a property services, facilities maintenance, HVAC, plumbing, construction or related organization is highly preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills in English.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Strong customer service and problem-solving skills.
  • Intermediate skills using Microsoft Office Suite required.

Nice To Haves

  • Bilingual in Spanish is helpful.
  • Familiarity with vendor management and subcontractor coordination is desired.

Responsibilities

  • Schedule and dispatch technicians to service calls, maintenance requests, inspections, and project-related work.
  • Monitor technician schedules and optimize routes, assignments, and workload distribution.
  • Ensure work orders are accurately assigned, documented, and updated in company systems.
  • Track job status from initiation through completion and billing readiness.
  • Ensure all service documentation, photos, notes, and completion details are accurately recorded.
  • Support procurement coordination efforts for direct materials, tools, and inventory items.
  • Serve as a point of contact for clients regarding service requests, scheduling, and status updates.
  • Provide proactive communication regarding appointment confirmations, delays, completions, and follow-up activities.
  • Maintain a high level of customer service and professionalism when interacting with clients.
  • Coordinate and schedule third-party vendors and subcontractors to support service delivery.
  • Ensure strong follow-through on all service commitments and internal processes.
