About The Position

This role involves performing and organizing activities to support the daily operations of the unit, ensuring administrative services are carried out in accordance with established goals and objectives. The position will implement administrative procedures or systems that are moderately complex to support the faculty, department, or unit’s operations and ensure activities meet or exceed established quality requirements. Responsibilities include assisting with the preparation of operating and capital budgets and research grant applications, monitoring and reconciling accounts, and preparing reports and statements. The role also involves planning meetings, conferences, luncheons, and special events, and recording and distributing minutes. Additionally, the Project Administrator will administer computer software licenses and hardware distribution, maintain space inventory, and interact with facility service units for building services such as renovations, security, emergency responses, and safety. The role also administers the physical resources of the unit or building in compliance with University and government regulations, compiles statistics and data for reports, and updates documents and reports in print or on the website. Support for student affairs and academic administrative activities is also a function of this role. The position requires establishing and fostering effective working relationships by identifying needs and providing support in the delivery of services, as well as assessing and resolving administrative problems, informing the supervisor when appropriate, and formulating recommendations. The role also involves attending meetings.

Requirements

  • DEC III
  • Three (3) years’ related experience
  • Knowledge of English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
  • Authorized to work in Canada
  • Willing to work in the province of Quebec at the campus where the position is based / located.

Responsibilities

  • Assist with the preparation of operating and capital budgets and research grant applications.
  • Monitor and reconcile accounts; assist in the preparation of reports and statements. Approve expenditures within established guidelines.
  • Plan meetings, conferences, luncheons and special events. Record and distribute minutes.
  • Administer computer software licenses and distribution of hardware.
  • Maintain space inventory and interact with facility service units for required services to the building, such as renovations, security, emergency responses, safety, etc.
  • Administer physical resources of the unit or building in compliance with University and government regulations.
  • Compile statistics and data for inclusion in reports. Update documents and reports, either in print or on the website.
  • Provide support for student affairs and academic administrative activities.
  • Establish and foster effective working relationships by identifying needs and providing support in the delivery of services.
  • Assess and resolve administrative problems. When appropriate, inform supervisor and formulate recommendations.
  • Attend meetings.
