About The Position

Arcadis is seeking a Project Administrator to join their Resilience Water team in San Diego, California. This role involves supporting project administration for multiple project managers and operations in the Southern California region. The Project Administrator will have regular interaction with Project Managers and the Finance Manager regarding contracts and project-specific financials and metrics. This is an opportunity for a self-motivated individual to work on project-specific tasks such as tracking project progress, preparing contract reports for management, monitoring project budgets, and distributing routine correspondence for multiple projects simultaneously.

Requirements

  • 4 years of relevant work experience.
  • Strong interpersonal and communication skills.
  • High level of proficiency in Microsoft Word, PowerPoint, Outlook, and Excel.
  • Highly motivated with a drive to pursue continual innovative improvements in processes.
  • Exceptional time management and organizational abilities.
  • Capability to work effectively under time constraints, prioritize tasks, and manage multiple projects and responsibilities simultaneously.
  • Excellent analytical skills with a keen attention to detail.

Nice To Haves

  • Experience using Oracle.
  • Familiarity with project management principles and techniques.
  • Experience with contract management and legal documentation.

Responsibilities

  • Support Project Managers to ensure control and communication of project budget, scope, schedule, progress, and risks.
  • Participate in project activities and review essential project documentation to ensure an effective project management process (including risk management, schedule, cost management, change management, billing, cash flow, and issue resolution) consistent with approved project plans.
  • Work closely with project managers to ensure client invoices are prepared monthly and sent each month, verifying compliance with contract terms.
  • Coordinate with subcontractors on billing requirements.
  • Provide and analyze financial project metric reports for project managers (Project Revenue, profitability, accounts receivable, etc.).
  • Prepare sophisticated reports and spreadsheets, conducting a high level of quality control and accuracy.
  • Set up new projects and update project forecasts in the project management tools.
  • Participate in monthly project reviews with Finance Managers and Project Managers.
