About The Position

This Other Personal Services (OPS) position provides administrative and programmatic support to facilitate the operations related to client services. The Agency seeks team members who demonstrate the qualities of being humble, hungry, and smart and lead others to embody the same. This entails lacking excessive ego, sharing credit, being self-motivated, and exercising good judgment and intuition regarding the subtleties of group dynamics. This position with APD will serve staff and management across the Agency. Requirements

  • High School Diploma or its equivalent
  • At least 2 years of professional and verifiable experience with administrative tasks or providing support in an office environment OR A college degree can substitute for required years of experience.
  • Use Microsoft Office Programs (Word, Excel, Outlook, Teams, SharePoint).
  • Use APD business systems to carry out job duties.
  • Enter data in a professional work setting.
  • Demonstrate and provide responsive customer service.
  • Multi-task effectively.
  • Use tracking systems to monitor and complete work assignments within required timeframes.
  • Understand, interpret, demonstrate, and manage oneself and to handle interpersonal relationships.
  • Listen and understand what others may be saying and asking questions.
  • Exercise critical thinking skills, including analyzing available information, observations, and evidence in order to determine appropriate action.

Responsibilities

  • Coordinate and execute the preparation, distribution, and tracking of Annual Status Reviews (ASRs) to ensure timely completion.
  • Monitor compliance with established timelines and follow-up procedures for ASRs.
  • Maintain accurate records and documentation related to ASR activities.
  • Assist with monitoring and answering inquiries submitted to the ASR inbox.
  • Assist in the preparation and submission of IFS (Individual Family Support) within the system.
  • Ensure accuracy and compliance with policies and procedures for IFS.
  • Generate and analyze reports to support regions for IFS.
  • Track all IFS reports and maintain records.
  • Assist with monitoring and answering inquiries submitted to the IFS request inbox.
  • Assist in monitoring and coordinating program activities with partners for the Unique Abilities Partnership Program.
  • Respond to inquiries related to the Unique Abilities Partnership Program via email and phone.
  • Monitor and process all partnership applications, ensuring timely decision-making.
  • Performs administrative and clerical duties related to programs and services for the agency.
  • Provide administrative support for various departmental projects and initiatives.
  • Assist in the development and implementation of process improvements.
  • Performs other duties as assigned.
