About The Position

Program Manager Palo Alto | Hybrid NTT DATA AIVista, Inc., a wholly owned subsidiary of NTT DATA, is based in Silicon Valley. We develop AI products that operationalize AI across enterprises operating in complex regulatory environments. We partner with other NTT companies (NTT DATA Inc., NTT DATA Japan, and NTT DOCOMO) to ensure successful deployment to NTT clients. Our clients benefit from AIVista’s deep AI product expertise combined with the industry domain knowledge and systems integration experience of NTT DATA. Role Description We are seeking a highly organized, execution-oriented Program Manager to support and scale critical internal operations across HR, Finance, and other corporate functions while helping drive the adoption of agentified workflows across the organization. This role will work closely with executive and functional leaders to coordinate high-priority programs, strengthen operational processes, and ensure cross-functional initiatives move from planning through execution. The ideal candidate is comfortable operating in a fast-paced environment, managing sensitive information, creating structure where needed, and identifying opportunities to improve how work gets done through automation and AI.

Requirements

5+ years of experience in program management, business operations, finance operations, HR operations, Chief of Staff, or a related role.
Demonstrated ability to independently drive cross-functional programs from planning through execution.
Strong project and program management skills, with the ability to manage multiple priorities, stakeholders, dependencies, and deadlines.
Working knowledge of finance operations, HR operations, employee lifecycle processes, and internal business controls.
Strong operational judgment and the ability to create structure in evolving or ambiguous environments.
Exceptional attention to detail and discretion when handling confidential company, financial, compensation, and employee information.
Experience improving business processes through automation, systems implementation, or AI-enabled workflows.
Ability to work effectively with executives, functional leaders, and cross-functional teams.
Strong written and verbal communication skills.

Responsibilities

Partner with the CAO and HR function to coordinate day-to-day people programs and operational initiatives, including: Manage employee lifecycle workflows, including onboarding, offboarding, employee changes, and HR records. Support recruiting operations, hiring approvals, offer processes, background checks, and headcount tracking. Support the development and ongoing management of internal knowledge resources and the company intranet. Coordinate compliance requirements, mandatory employee training, documentation, and operational tracking. Support internal audit and compliance-readiness initiatives across HR and other corporate functions. Identify opportunities to improve employee and manager experiences through stronger processes, systems, automation, and programs.
Partner with the CFO and Finance function to coordinate and support key financial and business operations, including: Support budgeting, forecasting, financial reporting, and preparation of leadership and Board-level finance updates. Maintain finance controls, approval records, audit documentation, insurance and tax deadlines, and key operating trackers. Coordinate cross-functional finance initiatives and ensure owners, dependencies, deadlines, and deliverables remain on track.
Help identify, design, implement, and continuously improve AI-enabled workflows across Finance, HR, Legal, Marketing, and other internal functions to drive operational excellence. Identify operational workflows that can be streamlined, automated, or improved through AI agents and other AI-enabled tools. Partner with functional owners to understand and document workflows, decision points, permissions, dependencies, and success criteria. Translate business processes into clear agent instructions, workflows, checklists, escalation paths, and user guidance. Coordinate implementation and adoption of AI-enabled workflows across internal teams. Monitor outputs for accuracy, completeness, privacy, and business appropriateness. Establish feedback loops and operational metrics to evaluate effectiveness and identify opportunities for improvement. Train and support internal users as new AI-enabled capabilities and workflows are introduced.
