About The Position

The Program Coordinator provides administrative, technical, and program coordination support for the Department of Biomedical Engineering, with primary responsibility for managing the Summer Intern Program. This role supports faculty, students, and departmental operations through coordination of academic programming, communications, purchasing, vendor management, and event logistics. This position requires a high level of organization, initiative, and comfort working across academic, IT, and administrative systems.

Requirements

  • High school diploma or equivalent
  • 2–3 years of experience in administrative support, program coordination, or academic operations
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Proficiency with Microsoft Office and/or Google Workspace
  • Strong written and verbal communication skills
  • Ability to work effectively with faculty, students, and external partners

Nice To Haves

  • Associate’s or Bachelor’s degree
  • Experience in higher education or research administration
  • Familiarity with student programs, internships, or summer research initiatives
  • Experience with purchasing systems, invoice processing, and vendor setup (e.g., Workday/WSS)
  • Experience supporting AV, broadcasting, or hybrid classrooms
  • Comfort supporting STEM or Biomedical Engineering environments

Responsibilities

  • Manage all administrative aspects of the REU Summer Intern Program, including: Application coordination, communication with candidates, and program timelines; Onboarding of interns, including paperwork, system access, training coordination, and compliance requirements; Acting as a primary point of contact for interns throughout the program
  • Coordinate and schedule courses, research seminars, defenses, and special events, including: Calendar management; Room scheduling and virtual/hybrid setup; Broadcasting and recording support for courses, seminars, and defenses
  • Create and post social media content to support departmental programs, events, and summer research initiatives
  • Maintain accurate, up‑to‑date information for program communications and promotional efforts
  • Assist with internal and external communications related to academic and research activities
  • Order program and office supplies; track inventory and ensure timely replenishment
  • Process invoices, reimbursements, and purchasing requests in accordance with departmental and institutional policies
  • Add and maintain vendors in Workday Supplier Services (WSS) or equivalent financial systems
  • Assist with basic budget tracking and documentation for programs and events
  • Provide basic IT troubleshooting support for faculty, staff, students, and visiting interns (e.g., audio/visual issues, classroom technology, access coordination)
  • Coordinate with central IT and instructional technology teams as needed
  • Support hybrid and broadcast technology for courses, seminars, and academic defenses
