About The Position

The Program Coordinator I coordinates the planning, development and implementation of events and processes in the Office of Continuing Education (OCE) in the College of Veterinary Medicine and Biomedical Sciences. This role is crucial for the successful execution of veterinary continuing education seminars and conferences, managing registrations, coordinating logistics, and providing administrative support. The position is based in College Station, Texas, and is a full-time role.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Two years of administrative experience.

Nice To Haves

  • Experience drafting, editing and formatting written correspondence.
  • Experience working in iPayments, Access, Marketplace and/or Canvas.
  • Ability to work independently.
  • Understanding of budget process.
  • Experience within Veterinary Medicine.

Responsibilities

  • Oversee and coordinate veterinary continuing education seminars and conferences.
  • Assist in preparation and monitoring of budgets for programs and events.
  • Set up advertising and registration through the OCE website and the University’s website.
  • Manage registration, correspond with registrants, issue receipts, secure meeting room reservations, and organize proceedings.
  • Determine and acquire supplies for events including but not limited to conference bags, proceedings, name badges, and food and beverage.
  • Coordinate and help execute the production of the event, including but not limited to logistical set up, check-in/registration, food and beverage, exhibitor displays and other logistical necessities of the event.
  • Set up/take down of tables and chairs; moving coolers; grocery shopping for conference.
  • Manage the database that contains registrant information.
  • Book travel for out of town speakers.
  • Serve as the primary contact for exhibitors, speakers and program registrants.
  • Establish and maintain a good business relationship with sponsors and exhibitors.
  • Prepare a profit-loss statement for each event and coordinate payment of vendors and speakers.
  • Maintain office supplies and equipment, keys and placards.
  • Ensure the confidentiality of mail, correspondence and reports.
  • Manage OCE deposits through iPayments.
  • Complete Continuing Education credit card report.
  • Serve as liaison for equipment and service contracts of the OCE.
  • Communicate and interact with other areas of the college to coordinate OCE events.
  • Provide administrative support for the coordinator of continuing education, including but not limited to clerical support and appointment scheduling.
  • Supervise office staff and/or student workers.
  • Maintain the OCE website and social media pages.
