About The Position

The Program Coordinator, Career Education supports the planning, coordination, and delivery of career education programming for American University students. Reporting to the Associate Director, Career Advising and Education, this position plays a central role in administering AU’s career-related course, coordinating career education workshops and programs, and maintaining educational resources that support student career readiness. The Program Coordinator provides day-to-day operational and logistical support to ensure career education initiatives are delivered effectively and consistently. The role collaborates closely with Career Center staff, faculty, students, and campus partners to support high-quality learning experiences that are accessible, organized, and responsive to student needs. The Program Coordinator may supervise student employees who assist with program delivery, peer engagement, and course support.

Requirements

  • Bachelor's degree or equivalent.
  • 1 - 3 years of relevant experience.
  • Strong organizational and time management skills.
  • Ability to manage multiple projects and deadlines.
  • Proficiency with spreadsheets, databases, and event coordination tools.
  • Ability to learn and adapt to new systems and processes.
  • Strong interpersonal and communication skills.

Responsibilities

  • Coordinate daily operations for AU’s career-related course, including scheduling, roster management, Canvas course shells, and standard communications.
  • Support course delivery logistics, including materials preparation, classroom or Zoom coordination, and assignment setup.
  • Provide support to instructors of record with grading workflows, attendance tracking, and responding to student inquiries.
  • Manage the organization and maintenance of course content and instructional materials in collaboration with the Assistant Director of Curriculum Integration.
  • Coordinate with the Registrar and OIT on course setup, enrollment processes, accessibility needs, and technical support.
  • Ensure course operations align with university academic policies and instructional standards.
  • Coordinate logistics for career education workshops, programs, and events, including room reservations, AV needs, catering, and setup.
  • Manage registration, attendance tracking, and post-event communications.
  • Support in-person, virtual, and hybrid career education programming.
  • Maintain program calendars and assist with scheduling across Career Center teams and campus partners.
  • Support consistent delivery of recurring programs through established processes and documentation.
  • Coordinate and support peer education efforts, including Career Ambassadors or course assistants.
  • Oversee student employee scheduling, task coordination, and training support.
  • Support outreach efforts such as tabling, presentations, and information sessions to promote career education programs.
  • Serve as a first point of contact for student questions related to career education programs and courses.
  • Collaborate with student organizations and campus partners to support student participation.
  • Draft and manage routine communications related to programs and courses, including emails, announcements, and FAQs.
  • Track and analyze participation, attendance, and engagement for courses and programs.
  • Maintain and manage spreadsheets, databases, and program records.
  • Coordinate basic budget-related activities including budget tracking, purchasing requests, and invoice processing.
  • Maintain program documentation, templates, and standard operating procedures.
  • Supervises student employees, including Career Ambassadors and/or course assistants.
