About The Position

The Education Program Coordinator builds workflows that align with ACGME requirements, including recordkeeping, tracking educational milestones, and collecting accreditation data, during the GME program’s start-up phase. This role directs the daily administrative functions of the Sunset Health Student and GME Office. The coordinator is responsible for coordinating student/resident physician rotations within Sunset Health and in partnership with other academic institutions. They will oversee and maintain program affiliation agreements with other universities and program accreditation with ACGME and other regulatory bodies. This position supports preparation and coordination for University/ACGME site visits and internal reviews. The coordinator manages schedules for the Sunset Health Senior Director for Clinical Operations and Education, the Residency Program Director, and visiting faculty. They assist in planning and executing new student/resident orientation, trainings, and GME events. A key responsibility is maintaining and coordinating all documentation of student/resident records to ensure current and necessary credentialing and professional certification and licensure. The role manages and administers student/resident schedules in the clinic, including rotations, on-call duties, and time off, to comply with internal and University/ACGME requirements. This position provides administrative support to the Graduate Medical Education Committee (GMEC) and acts as a liaison with hospital leadership, accrediting agencies, and affiliated partners. The coordinator serves as a liaison between our Sponsoring Institution administrative support, GMEC, and our directors. They maintain minutes of the residency program committees and other related meetings. The role involves attending relevant coordinator/GME administrative training and conferences. Collaboration is key in preparing ACGME documentation, internal reports, and institutional summaries. The coordinator supports the recruitment process for faculty, staff, residents, and students. They manage and coordinate website content and updates related to all education programs. This role collaborates with faculty, students, and residents to monitor the learning environment, satisfaction, and well-being indicators. The coordinator supports inclusive recruitment and orientation practices, aligned with Sunset Health’s commitment to an inclusive and healthy work environment. They manage and coordinate all clinical student rotations sponsored or operated by Sunset Health, including but not limited to medical students, physician assistant students, nurse practitioner students, nursing students, and medical assistant trainees; serving as the primary liaison with academic institutions to ensure proper onboarding, scheduling, supervision arrangements, and documentation. The role participates in quality improvement initiatives related to program metrics and educational outcomes. Assistance is provided in tracking board certification exam eligibility, including rotation completion, procedural logs, and licensure documentation. Support is also provided for planning and documentation of faculty development sessions and scholarly activity. The coordinator tracks distribution and timely completion of evaluations (faculty, resident, and student rotation) to ensure University/ACGME compliance. They coordinate completion of ACGME annual surveys and manage data entry in the Accreditation Data System (ADS). Assistance is provided in grant writing and identification of GME funding opportunities. The role manages administration and coordination of the evaluation system for the residency program and residents. Finally, the coordinator manages coordination and support for student/residency program social events (i.e., Orientation reception, interview season dinner, graduation). Other duties as assigned.
