About The Position

Early Media is hiring a contract Production Coordinator to provide logistical support to Producers across projects. The role runs the production office and field logistics so creative teams can focus on the story, resolving practical gaps between the production vision and execution before they affect the shoot.

The Production Coordinator arranges cast and crew travel, supports onsite shoot operations, and manages production paperwork, including permits, releases, invoices, petty cash, expense tracking, and location agreements. The work may involve fast-changing field conditions and shifting schedules.

Requirements

• Production coordination experience or comparable experience juggling travel, vendors, budgets, and multiple moving parts.
• Strong logistical organization, including anticipating gaps and following through on details.
• Ability to remain composed and resolve problems in the field without neglecting other responsibilities.

Nice To Haves

• YouTube experience.
• Experience on unscripted or documentary field productions with constantly shifting schedules.
• A working network of vendors, crew, and locations that can be activated quickly.
• Familiarity with call sheets, production schedules, budget tracking, and scheduling or project management software.

Responsibilities

• Arrange cast and crew travel, including flights, hotels, ground transport, and per diems.
• Prepare call sheets to help cast and crew arrive at the right place on time.
• Coordinate onsite shoot logistics, including crew meals, craft services, gear and equipment, and location access.
• Manage the run of show from call through wrap.
• Coordinate production paperwork, including permits, releases, vendor invoices, petty cash, expense tracking, and location agreements.
• Support Producers across projects by handling production office and field logistics.
• Respond to changing field conditions, such as rebooking flights, sourcing locations, and addressing catering issues.
